We are looking for: 

Office Administrator and & Facility Manager

The Office Administrator and & Facility Manager is responsible for organising all of the administrative activities that facilitate the smooth running of our office.

He/She must make sure that office equipment is maintained, relevant records are up to date and that all administration processes work effectively.

Talkbridge’s Office Administrator and & Facility Manager will carry out most of the administrative tasks themselves as well as supervise the work of a team of staff. He/She will ensure that their office runs efficiently.

Activities will include:

  • managing the Serbian Talkbridge office
  • organising office operations and procedures, maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • maintains office services by organising office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
  • maintaining the condition of the office and arranging for necessary repairs;
  • reviewing and updating health and safety policies and ensuring they are observed;
  • arranging regular testing for electrical equipment and safety devices;
  • designing and implementing office policies by establishing standards and procedures; 
  • dealing with state institutions, accountants, lawyers when required 
  • using a range of office software, including email, spreadsheets and databases;
  • providing historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
  • achieving financial objectives by preparing an annual budget; scheduling expenditures; analysing variances; initiating corrective actions.
  • scheduling meetings and appointments
  • keeping management informed by reviewing and analysing special reports; summarising information; identifying trends.
  • liaising with facility management vendors, including cleaning, catering and security services
  • coordinate with IT department on all office equipment
  • overseeing the recruitment of new staff, including the on boarding process for hires;
  • carrying out staff appraisals, managing performance and disciplining staff;
  • promoting staff development and training;
  • implementing and promoting equality and diversity policy;
  • contributing to team effort by accomplishing related results as needed.
  • plan in-house or off-site activities, like parties, celebrations and conferences

Requirements

  • proven extensive experience as an Office manager/Office Administrative assistant
  • knowledge of office administrator responsibilities, systems and procedures
  • knowdlege of the law regarding the business environment of Serbia. Previously owning/managing a Serbian company is a plus.
  • proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • hands on experience with office machines (e.g. fax machines and printers)
  • familiarity with accounting,human resources, taxes etc
  • excellent time management skills and ability to multi-task and prioritise work
  • attention to detail and problem solving skills
  • excellent English both written and verbal 
  • excellent written and verbal communication skills
  • strong organizational and planning skills in a fast-paced environment
  • a creative mind with an ability to suggest improvements
  • college degree; additional qualification in administration will be a plus
