Country Manager Assistant
to join our team in Belgrade
Country Manager Assistant often acts as the manager's first point of contact with people from both inside and outside the organisation.
The purpose of this role is to provide a consistently high standard of professional support to the Country Manager in order to ensure that he is able to operate in an efficient manner and maximise the use of his time.
Job Duties:
- Representing the Country Manager
- To be the first point of contact for all communication to the Country Manager;
- To develop a solid understanding of the needs and preferences of the Country Manager and wider organisation, filtering communication and dealing with enquiries directly where appropriate in order to ensure he is able to work efficiently and maximise the use of his time;
- To assist the Board meetings and any other business meeting, keeping track of the important data by taking minutes;
- Organising and maintaining calendars and making appointments; organising and attending meetings and ensuring the manager is well prepared for meetings;
- To meet and greet the Country Manager’s visitors ensuring that they are welcomed into a friendly and professional environment;
- Deputising for the manager, making decisions and delegating work to others in the manager's absence;
- Taking on some of the manager's responsibilities and working more closely with management;
- Diary Management
- Arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations;
- To use wise judgment to manage and prioritise competing demands;
- Administrative and Communications Support
- Dealing with incoming email, faxes, post, phone calls, often corresponding on behalf of the manager;
- Produce presentations , letters, reports and documents (including confidential items);
- Hiring outsider vendors — sourcing, negotiations, project oversight;
- Liaising with clients, suppliers and other staff;
- Carrying out specific projects and research/ project management;
- Event production;
Skills/Qualifications:
- Bachelor’s Degree VII or VII-1;
