PURPOSE

To provide an excellent standard of customer service to internal customers (adidas Group colleagues) and office visitors, ensuring seamless support at the point of Reception but also in facilities and general services support.

 KEY ACCOUNTABILITIES

  • To serve internal customers and visitors, showing high standards of customer care at all times, providing a helpful and friendly service
  • To receive all company’s call-center incoming calls and ensure professional management of the Reception by handling incoming and outbound mail / packages 
  • To ensure administrative functioning of the office services by placing orders for services, equipment and supplies
  • To support in the organization of in-house meetings and sell-in events 
  • To coordinate and monitor any building maintenance or renovation works carried out in-house by appointed vendors (i.e. HVAC, plumbing, electrician works etc.)
  • To coordinate and monitor the services provided by various other vendors managed by the Facilities & Services function (including car fleet) in collaboration with the Facilities Manager SEE and other internal key stakeholders 
  • To coordinate IT support for the local team by liaising with the relevant resources internally and externally
  • To be responsible for the filing of hard and soft copies of contracts / addendums / correspondence regarding office administration as per organization’s processes
  • To assist the Facilities Manager SEE ensure that the offices comply with all statutory regulations and codes of practice (including Health and Safety)
  • Support for the Retail stores as and when required.

 KNOWLEDGE SKILLS AND ABILITIES

  • Excellent interpersonal, communication and organizational skills
  • Knowledge of customer service principles and practices
  • Able to prioritize tasks and manage time effectively at a high level
  • Able to take initiative and work with minimum supervision
  • An open-minded team-player with a friendly personality willing to learn and develop new skills 

 QUALIFICATIONS

  • University degree
  • 1-3 years working experience in Reception and/or Office Management related areas preferably in a multinational environment
  • English: fluent
  • Very good knowledge of MS Office
