Basic function

The incumbent must handle multiple simultaneous tasks concerning customer orders, customer returns and customer complaints. This includes, but is not limited to, providing information on order status, customer pricing, and part number information to internal and external customers as well as resolving order processing related issues and exceptions and managing customer escalations. Next to that the incumbent may be involved in resolution of receiving discrepancies, inventory reconciliation tasks and any other task in support of either the customer or 3 PL Warehouse Operation. Other tasks may be assigned if required.

Principal accountabilities:

  • Processes customer Sales orders and Repair Sales Orders including order entry, order maintenance and cancellation
  • Processes Return Material Authorizations (RMA)
  • Assists / resolves Receipt nonconformities
  • Provides order status as well as information around delays and other order related issues to customers if required
  • Processes and resolves order exception reports
  • Processes customer complaints and provides status to customers
  • Handles Order Escalations (allocations and prioritization)
  • Provides adequate response/information to questions/requests from in and external customers
  • Handles Customer, Product and Order Holds
  • Maintains Pricelists
  • Handles Part Substitutions
  • Reports quality issues/concerns to appropriate personnel
  • Assists in initiatives driving towards a seamless order flow
  • Recognizes and reports process and system nonconformities
  • Other duties may be assigned

Candidate profile and qualifications:

  • Middle to Higher educational level (comparable to MBO or MBO+ level) preferably in logistics, trade, business or administration.
  • Preferably 1 to 2 years in an international customer service, support or warehouse and distribution environment.
  • Fluent in English (both oral and in writing). Dutch or another second foreign language would be an asset.
  • Experience with MS Office PC applications
  • Experience with automated information (ERP) systems specifically Oracle R12 / Oracle Enterprise Services and /or Warehouse Management Systems
  • Good Analytical and administrative skills
  • Excellent communication skills
  • Excellent Teamworking skills
  • Accurate
  • Ability to manage multiple priorities
  • Ability to perform and switch between multiple and diverse tasks
  • Some flexibility regarding tasks, working times/hours
  • Capability to assume responsibility, work independently and resolve problems with minimal supervision
