We are currently seeking the services of a disciplined individual to assist our design and sales teams through the execution phase of their projects.

You will engage with suppliers, vendors, contractors and other assorted characters behind the scenes orchestrating a myriad of simultaneous – sometime conflicting events.

Your effectiveness will bring harmony to the people and processes in order to ensure successful, timely and profitable outcomes.

DEMANDS of ROLE & EMPLOYMENT:

  • This role demands a full time US Time Zone (-5 UTC) REMOTE presence (screen/skype/phone) at our NYC office. In other words, the ability to work the 4PM to 12AM shift in your time zone.
  • Fluency in English both written and verbal is ESSENTIAL.
  • High Speed/Broad Band Internet Connection is a MUST HAVE.
  • Late model state of the art computer with all the bells and whistles goes without saying.

POSITION DESCRIPTION:

  • Assist our Design and Sales departments in the sale/after sale process:
  • Prospect outreach, appointment or production scheduling.
  • Product Order Flow: Processing PO's, Scheduling & Coordinating men and materials.
  • Communicating with Vendors to ensure shipments are on schedule. Managing the process from initial order to client satisfaction sign off.
  • Communicating with Installation Teams to negotiate rates, ensure timely receipt of shipments and understand the scope of work.
  • Communicating with Customers to confirm orders, schedule deliveries & installations, and follow up to ensure 110% satisfaction.
  • Create and send Quotes, Order Confirmations & Work Orders, Certificates of Insurance and any other paperwork required for smooth coordination of delivery and installation phases.
  • Accurate process record keeping for each project using company CRM software.
  • Assuring the company calendar is accurate and up to date with all scheduled shipments, deliveries, and installations.
  • Maintaining a constant awareness and review of installation teams, to ensure we are working with the best quality management and in-the-field teams.
  • Accurate record keeping of our vendor spreadsheets and databases ensuring that all data are current and up-to-date (rep contact information, discount rates, price updates, etc).

CANDIDATE EXPERIENCE & QUALIFICATIONS

  • B2B Project Management Experience.
  • Basic Accounting Theory: debits, credits, A/P, A/R will be very Helpful! A working knowledge of Quickbooks a BIG PLUS.
  • Familiarity with CRM software or comparable Process Management Software.
  • MS Office applications- Word, Excel, & Outlook.
  • Knowledge of design related software (CAD) is a another BIG PLUS.

EMPLOYMENT CLASSIFICATION:

Your engagement will be with a USA based company, governed by a general labor contract that will be performance and time based, defined by mutual agreement.
