Ball Corporation is currently looking for a motivated and nimble person for the position:

Office Coordinator
- Temporary position -

(Location: GBS Belgrade)

Primary purpose of position:

As a member of the Department, it takes all necessary measures to achieve all the set business goals within the Department, while respecting all existing Ball Global procedures and rules regarding the quality of work, protection at work, environmental protection;

As Office Coordinator, this person will be the first point of contact for our company. This employee will support management at all levels of organization and will welcome guests and greet people who visit the business. Responsible for handling administration duties and front-desk activities, including distributing correspondence and redirecting phone calls. Scheduling meetings and coordinate travels for employees.

Reports to: GSB Director

Main tasks:

  • Greet and welcome guests, candidates for interview, customers and connect them with the appropriate party. Maintains safe and clean reception area by complying with procedures, rules, and regulations.
  • Answer the phone and responds to e-mail in a timely manner and route calls to specific people
  • Update calendars and schedule meetings internally and externally
  • Receive, sort and distribute daily mail/deliveries
  • Arrange travel and accommodations, and prepare vouchers (for taxi, rent a car)
  • Prepare travel orders and communicate to the Finance team daily allowances
  • Keeping record about the keys in the locker rooms
  • On demand creates Purchase requisition and assist to other departments for seeking offers. Assist in vendor relationship management
  • Monitor the taxi and courier services expenses. Responsible for the optimization of such expenses
  • Assists with events organization for Plant (Town Halls, team buildings, dinners, conferences)
  • Creates and translates various announcements for the Plant, new comers, organization etc.
  • Keep records of the usage of company’s vehicles and create travel orders for their usage
  • Carrying out periodic health and safety checks
  • Coordinate office activities. Maintain a clean and organized office environment and coordinates with 3rd part employees for cleaning offices
  • Preparing, printing, binding and archiving, when necessary, all company documents and reports
  • Suggest changes to office task workflow in order to improve efficiency
  • Performing ad-hoc administrative duties
  • And in connection with the above-mentioned tasks, all the jobs that the Employer is assigned to him, as well as all the jobs that are specifically agreed in writing.

Requirements:

  • Minimum IV level of education/Secondary school diploma
  • Must be fluent in English (written & verbal)
  • Performing ad-hoc administrative duties
  • Polite, helpful and positive attitude
  • Problem solving skills
  • Open for new ideas and solutions
  • Ability to work under pressure and meeting tight deadlines
  • Ability to work with various levels of management
  • Ability to create reports
  • Ability to manage multiple tasks concurrently
  • Must have strong written and verbal communication skills
  • Must have good organizational skills
  • Must have Microsoft Office experience
