HR Operations Administrator Middle East and APAC – based in Belgrade

Department: Human Resources

Position

This role based in Belgrade office reports directly to the HR Manager Middle East and APAC.

Your responsibilities will be spread across Singapore, UAE, Hong-Kong, China, Japan and Australia. You will closely collaborate with our Regional HR Generalist based in Singapore and manage the payroll and administration across all named countries, as well as manage any other transactional topics through our HR systems.

Your main responsibilities will include:

Payrolls management

  • Work with our external payroll provider (ADP) to manage payroll for the 6 countries
  • Ensure accuracy and timely execution of the monthly payroll
  • Applies the payroll process by using the SPM platform (ADP’s platform)
  • Coordinate with Finance for the payroll process, expenses and salaries payment
  • Be the payroll provider’s point of contact for enrollment and termination of employee
  • Manage payment of mandatory entitlements (CPF for Singapore, Childcare for Singapore, Pension for Australia, monthly tax for Australia…)
  • Manage any request coming from payroll providers or from Finance
  • Manage the tax return process with each payroll provider
  • Establish and maintain payroll records

Administration and Legal coverage

  • Prepare employment contracts for new comers and addendum for the current ones
  • Enter data and ensure a constant data accuracy in our HRIS
  • Edit and checks HR reports for the region (leave counters, salaries, employees information…)
  • Drive onboarding of new comers and terminations for the equipment, accounts and system set-up or disablement
  • Record employee’s absences in the systems (sickness, maternity leave…)
  • Manage leave counters in the HRIS and specific requests from employee
  • Participate to health insurance enrollment and removal, checks the invoices, is the health insurance contact for any question about costs
  • Be the Finance point of contact for any question (reports, audits, invoices)
  • Be the Corporate Services point of contact and coordinates with them for any common topic
  • Be involved in the office insurance contracts updates regarding HR data

International Mobility and Immigration

  • Initiates the work permit application requests in the provider’s system
  • Is the point of contact of outsourced providers regarding their platform usage
  • Participate and create mobility cost reports for submission to management
  • Tracks work permits and residency visas expiry dates
  • Prepare the drafts of contractual offers of mobility

Required skills and experience

  • Prior experience at least 2 years in a HR administrative/generalist role or as a payroll specialist
  • International exposure in previous roles is a must
  • Ability to successfully manage multiple priorities in the same time, high sense of urgency
  • Ability to communicate remotely with HR colleagues, employees and managers
  • Great problem solving skills
  • Excellent knowledge of Microsoft Office applications (PowerPoint, Excel, Word, SharePoint, etc.)
  • Knowledge of HRIS of any kind
  • Attention to details and accuracy in every aspect of the role
  • Excellent interpersonal skills
