Position Overview

The Logistics Coordinator – Truckload plays a vital role in ensuring the smooth and efficient flow of freight within the organization’s supply chain. This position is responsible for scheduling and monitoring truckload shipments, negotiating with carriers, and collaborating with internal teams to meet service-level objectives. By managing carrier relationships, ensuring regulatory compliance, and resolving day-to-day operational challenges, the Logistics Coordinator helps maintain on-time deliveries and a high level of customer satisfaction.

Key Responsibilities

  1. Load Planning & Coordination
    • Shipment Scheduling: Develop daily and weekly truckload plans to meet delivery timelines, considering customer requirements, capacity constraints, and geographical factors.
    • Load Optimization: Consolidate freight where possible and allocate available capacity across routes to minimize transportation cost and maximize efficiency.
    • Cross-functional Collaboration: Work closely with warehouse, production, and customer service teams to ensure loads are accurately picked, packed, and ready for dispatch.
  2. Carrier Management
    • Carrier Sourcing & Selection: Maintain relationships with existing carriers while continually working with Freight Procurement Manager to source and qualify new carriers to ensure capacity and competitive rates.
    • Spot Rate Negotiations: Negotiate spot rates to secure optimal pricing within the spot guidelines. Leverage market intelligence and historical data to anticipate rate fluctuations.
    • Performance Monitoring: Track carrier key performance indicators (KPIs), including on-time pickup and delivery, claims ratios, and driver professionalism. Provide feedback and corrective actions to carriers as needed.
  3. Shipment Tracking & Troubleshooting
    • Real-Time Visibility: Use Transportation Management Systems (TMS), GPS trackers, and regular communication with carriers to monitor shipments in transit. Provide updates to internal stakeholders (Mill Order Management and Customer Service) as required.
    • Issue Resolution: Proactively identify delays or disruptions and implement recovery plans, such as rerouting shipments or scheduling expedited services.
    • Customer Communication: Provide timely updates to internal stakeholders, advising on revised delivery windows, potential risks, and recommended solutions.
  4. Documentation & Reporting
    • Compliance: Ensure all shipping documents are completed accurately and turned in on-time for payment.
    • Data Management: Record shipment details (costs, transit times, delivery confirmations) in the TMS or other relevant databases as needed.
    • Analytical Reporting: Prepare daily, weekly, and monthly logistics reports, highlighting operational metrics, cost trends, and areas for improvement as required.
  5. Cost Management & Efficiency
    • Freight Cost Analysis: Continuously evaluate freight spend against budget, identifying cost anomalies, trends, and potential savings opportunities.
    • Route Optimization: Collaborate with carriers and planning teams to refine routes and reduce empty miles, detention times, and accessorial charges.
    • Continuous Improvement: Engage in cross-departmental initiatives to streamline transportation processes, leverage technology, and enhance overall efficiency.
  6. Customer Service & Relationship Building
    • Point of Contact: Serve as the primary liaison for Customer Service regarding truckload shipments, addressing inquiries about ETAs, documentation, and any service issues.
    • Account Development: Build strong relationships internally with Customer Service through transparency, reliability, and proactive support. Identify opportunities to expand service offerings or improve processes.
    • Feedback Loop: Gather feedback on service quality, delivery performance, and overall experience. Partner with relevant teams to implement improvements.
  7. Compliance & Safety
    • Risk Mitigation: Identify potential safety or compliance risks and take preventive or corrective actions.
    • Carrier Compliance: Ensure that carriers are complying with guidelines 

Qualifications

  • Language: English Level B2 or better
  • Education: Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or related field (or equivalent experience).
  • Experience: 2+ years of experience in logistics, transportation, or supply chain roles, with exposure to rail operations preferred.
  • Technical Skills:
    • Proficiency in logistics management software, freight tracking systems, and Microsoft Office Suite.
    • Familiarity with rail transportation regulations, and Transportation Management Systems (TMS)
  • Soft Skills:
    • Exceptional organizational and time-management abilities.
    • Strong negotiation, communication, and interpersonal skills.
    • Detail-oriented approach to documentation and issue resolution.
    • Ability to work under pressure, manage multiple tasks, and adapt to changing priorities.
