Currently we are looking for a Personal & Administrative Assistant who will help us in running the office in Belgrade

Job brief

We are looking for a responsible Personal & Administrative Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to manager’s working life and communication.

Key Responsibilities

In this position, your main responsibilities will include without limitation the following:

  • Welcoming of clients and visitors to the company’s office
  • Contributing to the efficiency of business by providing personalized and timely support to CEO (providing adequate information, data, projects/tasks status reports etc.)
  • Managing executive’s appointment schedule by coordinating, planning, and scheduling meetings and call conferences
  • Managing, coordinating, and arranging executives’ travel and travel-related activities (including accommodation, transportation, expense reports etc.)
  • Taking minutes during executive meetings and ensuring timely, accurate and structured information flow and data recording
  • Assisting with internal and external communication – (structuring and arranging information, draft and prepare correspondence for internal announcements and board meetings’ presentations)
  • Communication with the financial and accounting sector in the company (keeping and daily updating of records, payment and collection deadlines, entering local and foreign currency payment orders)
  • Performance of general office management duties, including organization and management of correspondence;
  • Office maintenance, including the ordering of necessary household and office supplies;
  • Organization of document management according to generally set rules;
  • Keeping records of business documents (contacts, annexes, decisions, invoices…)
  • Handling confidential information and maintaining the security of the records and files;
  • Liaising with clients, suppliers and other staff.

Professional Qualifications and Experience

  • High school degree in economics
  • PA diploma or certification would be considered an advantage
  • Proven work experience as an Administrative/Personal Assistant
  • Knowledge of office management systems and procedures
  • MS Office and English proficiency

  • Ability to multitask and prioritize daily workload
