The Team Leader Assistant and Information Management (IM) Officer based in the ICRC Belgrade Shared Service Center (BSSC) will support the Resource mobilization division (REM) leadership team and manage a team of several Assistant and Information Management (IM) Officers. He/she will provide high-level administrative support, including handling confidential correspondence, scheduling complex meetings, and managing division-wide workstreams, with the goal to reduce to a minimum the level of administrative work that is covered by the division’s leadership team.

The BSSC is looking for a suitable candidate to fill the following position:

MAIN TASKS

  • Team Management
    • Manages a team of up to 5 Assistant & Information Management Officers
    • Ensures that the responsibilities / tasks of Assistant & Information Management officers are understood and carried out timely
    • Understands and supervises the Performance Management & Development (PMD) activities for employees under supervision
    • Engages in ongoing and continuous feedback and support
    • Organizes regular meetings with team members to ensure optimal coordination of the work and proper flow of information
    • Coordinates and supports team members in their personal development by coaching and advising them on internal and external training and development possibilities
  • Support to management:
    • Manages and maintains daily schedules, appointments and travel arrangements of the Head of Division, Deputy Head of Division, and other members of the leadership team
    • Drafts, formats, distributes and finalizes correspondence and other documents
    • Acts as the first focal point for all documents for the Head or Deputy Head’s signature (letters, contracts, etc.). Oversees the quality control of the content of those documents.
    • Manages consultancy contracts process: reviews contract, prepares for signature; ensures compliance to institutional (financial) rules; organizes consultant’s briefings and travel arrangements, manages invoices
    • Assures a proper records management of documents from the Division’s leadership team
    • Supports team members with travel arrangements (booking, travel itineraries, etc)
    • Welcomes new staff (organization of briefings, equipment and access badges, etc.)
    • Follows up requests with the maintenance service and IT
    • Trains unit’s members on different tools (e.g. expense claims system) and answers to ad-hoc questions on processes, tools, etc.
  • Information management (IM):
    • Is the focal point for IM related subjects in the unit concerned and the relay of the IM policies/guidelines/directives
    • Monitors the IM practices of the unit concerned and use of IM tools.
    • Participates in IM trainings and delivers the acquired knowledge to the unit team members, including the IM briefing for newcomers
    • Assures a proper records management of all documents
    • Files, organizes and retrieves documents in TeamSpace
    • Supports the unit with the activity of file referencing in the appropriate tool (classifies e-mail, supports the configuration of automatic acquisition of information, etc.)

REQUIRED PROFILE

  • University degree in Business Administration, Social sciences or equivalent training along with minimum at least five years' experience providing assistant or executive support in an international organization or company, experience in the Red Cross movement is a plus
  • Team leading experience is required (3-5 people)
  • Knowledge of standard office administrative practices and procedures
  • Computer proficiency (Microsoft Office suite a must, Sharepoint an asset)
  • Excellent verbal and written English skills
  • Fluency in any of the following languages is a distinct advantage: French, German, Spanish, Russian, Arabic
  • Autonomous, proactive, dynamic and solution oriented while committed to teamwork and collective performance
  • Discreet and able to maintain strict confidentiality
  • Ability to anticipate needs and take initiative
  • Strong communicator and strong intercultural skills
  • High attention to detail
  • Being at ease working for teams in transition and supporting colleagues remotely
