About the Role
We are looking for a proactive and detail-oriented Administrative Assistant who can support daily operations, marketing activities, and communication tasks. This is a versatile role for someone who enjoys multitasking, working independently, and taking ownership of different responsibilities.
The position can grow over time into a broader support or ticket management role for candidates with strong English and communication skills.
This is a remote full-time position under a freelance contract. The schedule is 8 working hours per day with availability aligned to the North American time zone, including mandatory overlap at least until 17:00 Toronto time.
Responsibilities
- Administrative support and handling day-to-day operational tasks
- Manage and maintain data in Google Sheets, including data entry, updating, structuring information, and working with formulas
- Ensure data accuracy by regularly reviewing and validating information against current records
- Work within Monday.com to monitor data correctness and maintain the accuracy of updates and changes
- Identify and resolve errors, discrepancies, and missing data with a high level of attention to detail
- Support reporting processes by preparing basic reports and ensuring information remains accurate and up to date
- Monitor and process server-related payments to ensure uninterrupted services
- Perform data reconciliation by cross-checking information across multiple sources to ensure consistency
- Working with spreadsheets, reports, and data organization
- Preparing, editing, and formatting texts, posts, and articles
- Managing website content and updates
- Publishing articles and content online
- Creating and posting content on LinkedIn
- Networking and outreach on behalf of management
- Supporting basic marketing activities (e.g., link building, content promotion)
- Coordinating communication with internal and external contacts
- Processing operational tasks such as service or server-related payments
- Assisting with customer support/ticket management in future growth stages
Requirements
- 1+ year of experience in administrative, assistant, operations, support, or similar roles
- Good English communication skills (written and spoken)
- Strong attention to detail and accuracy
- Ability to multitask and prioritize tasks effectively
- Fast learner with strong problem-solving skills
- Strong organizational skills
- Professional and polite communication style
- Self-motivated and reliable
- Comfortable working independently in a remote environment
- Ability to work according to the North American time zone schedule, with availability at least until 3pm Toronto time
- Full-time availability: minimum 8 working hours per day
- Willingness to use Time Doctor for time tracking
Nice to Have
- Experience with LinkedIn outreach or networking
- Basic marketing knowledge
