For the needs of our “Čoka Rakita” Project in the in the territory of the municipality of Žagubica, we are currently looking to recruit a candidate for the Administrative Officer position.
Role Purpose:
The Administrative Officer is responsible for providing efficient and professional administrative support to ensure the smooth day-to-day operation of the Coka Rakita Project.
Description of responsibilities:
- Support the onboarding and administrative induction of new employees, contractors, and visitors to the Čoka Rakita Project;
- Maintain attendance logs and leave tracking;
- Provide day-to-day administrative support to project staff and assist in resolving routine workplace coordination issues;
- Assist with scheduling engineering meetings, preparing minutes, and following up on action items;
- Identify opportunities to improve administrative workflows, filing systems, and document tracking processes;
- Assist in implementing standardized administrative procedures to improve efficiency and consistency across the project;
- Provide comprehensive office and site administrative support to ensure smooth daily operations;
- Prepare correspondence, reports, meeting minutes, presentations, and other routine administrative documents;
- Manage filing systems, records, databases, and document registers in an accurate and timely manner;
- Coordinate meetings, travel, accommodation, and visitor arrangements as required by the project team;
- Support procurement processes by preparing purchase requests and maintaining related administrative records;
- Track purchase orders, deliveries, invoices, and supporting documentation to ensure completeness and timely follow-up;
- Coordinate with procurement, finance, and end users on routine administrative matters related to goods and services;
- Handle incoming and outgoing correspondence, telephone calls, emails, and courier deliveries in a professional manner;
- Prepare and distribute meeting agendas, minutes, notices, and internal communications as required;
- Ensure timely and accurate sharing of administrative information to support effective project coordination;
Requirements:
- Higher education - economist or administration;
- Minimum 1 year of administrative experience;
- Computer skills - MS Office 365- Word, Excel, Outlook; PowerPoint, Share Point Online, Teams;
- Very good command of English - Minimum B2 level;
