About the Role
We are looking for a responsible and detail-oriented Administrative Specialist to support employee information management and daily administrative operations. The successful candidate will be responsible for maintaining personnel records, coordinating employee documentation, and supporting onboarding and administrative processes while ensuring the accuracy, confidentiality, and compliance of employee information.
Key Responsibilities
Employee Information Management
- Maintain and update employee records, including personal information, passports, residence permits, and White Card documentation.
- Ensure employee databases are accurate, complete, and up to date.
- Monitor the validity of employee documents and coordinate renewals when required.
- Maintain personnel files while ensuring data security and confidentiality.
Information Coordination
- Serve as the primary contact for employee information management.
- Coordinate personnel documentation with legal, finance, administration teams, and external partners.
- Prepare, organize, and provide employee information based on business needs.
- Track updates related to residence permits, employee records, and supporting documentation.
Administrative Support
- Assist with White Card registration, address registration, and tax number applications.
- Support employee onboarding, bank account opening, and relocation administration.
- Maintain emergency contact information and lease documentation.
- Provide other administrative support as required.
Requirements
- Bachelor's degree or above.
- At least 2 years of experience in administration, HR operations, records management, or related fields.
- Applicants must be Serbian citizens or holders of non-PRC passports who are eligible for visa-free entry to Serbia.
- Proficient in Microsoft Office, especially Excel.
- Good written and spoken Chinese and English communication skills.
- Strong attention to detail with excellent organizational and data management skills.
- Responsible, trustworthy, and able to handle confidential information with discretion.
Preferred Qualifications
- Experience in personnel records or employee information management.
- Experience handling overseas employee documentation, visas, or residence permits.
- Familiarity with data reporting, tracking systems, and record administration.
- Strong communication, coordination, and problem-solving skills.

- Salary: 2,000–2,500 USDT/month (depending on experience)
