We are looking for a reliable, well-organized, and communicative individual who enjoys the dynamics of administrative work and thrives in structured systems. As an Administrative Support Associate, you will play a key role in supporting management and the team in daily operations — from organizing documentation to communicating with colleagues and partners. This position is ideal for someone who values order, variety in tasks, and the feeling of contributing to the smooth functioning of the entire team.
Work you will do:
- Managing business correspondence with partners, suppliers, and employees (handling calls, inquiries, and email communication).
- Organizing meetings and supporting management activities, including preparing short meeting notes and following up on agreed actions.
- Welcoming and assisting company visitors and guests, ensuring a professional reception and smooth coordination of visits.
- Managing incoming and outgoing business documentation and emails, including registering correspondence, scanning and distributing documents, entering records into the internal document management system (DMS), and maintaining proper document archiving.
- Providing administrative and operational support to management and other departments, ensuring smooth coordination of daily office activities and internal processes.
- Monitoring office supply consumption and supporting the procurement process, including collecting bids, placing orders, and tracking deliveries.
- Coordinating with external service providers and suppliers (maintenance, cleaning services, office equipment, courier services, and other vendors).
- Organizing business trips and providing logistical support for internal meetings and small company events.
- Managing employee requests for essential work equipment and coordinating the procurement or allocation process.
- Supporting basic financial administration, including checking invoice compliance with contracts and purchase orders, preparing simple reports, and communicating with suppliers regarding discrepancies.
Skills and experience you will need:
- Minimum High School degree, preferably in economics or adminisitration.
- Minimum 3 years of experience in secretarial or administrative roles.
- Excellent command of MS Office.
- Advanced knowledge of English.
- Excellent knowledge of business administration and business etiquette.
- Strong organizational and time-management skills
- Excellent communication and interpersonal abilities
- Attention to detail and a high level of accuracy
- Ability to handle confidential information with discretion
