About the role
This is a remote full-time position based in Serbia, with working hours 10am-6pm CET Monday to Friday.
We are seeking an organised, highly communicative, and proactive Admissions Associate to directly support our wider Admissions team and nurseries. In this remote-first role, you will be key to managing customer relationships, driving enrollment pipelines, and assisting with prospective family engagement.
From handling multi-channel enquiries (phone, email, WhatsApp) and supporting event engagement to managing waiting lists and onboarding new children, your work will directly impact our growth and customer satisfaction.

Key responsibilities and tasks:
Customer Engagement & CRM Management
- Multi-Channel Enquiry Support: Handle day-to-day incoming family enquiries via phone, email, and WhatsApp with an empathetic, engaging, and professional approach.
- CRM Engagement: Maintain active engagement with prospects inside our CRM system, ensuring lead stages, communications, and notes are meticulously updated.
- Telephone support: Manage incoming calls to the central support line, assisting families with general enquiries and efficiently redirecting support or complaint calls to the relevant managers.
- Sales Support: Work directly alongside the Admissions Partners to manage pipeline growth, track capacity, and execute daily admissions workflows.
- Lead Conversion & Sales: Support new front-end sales opportunities, present offer details to prospective families, and actively follow up to convert leads into enrollments.
- Waiting List Management: Track, update, and manage waiting lists to ensure seamless pipeline transitions as openings arise.
- Event Support: Assist with family engagement and attendance outreach for upcoming events, open days, and marketing initiatives.
- Support the Admissions Assistant during busy times and annual leave cover.
Experience:
- 1–2 years in a fast-paced customer-facing sales / customer service environment
- Proven success in phone/digital sales, follow-ups, or target-driven environments
- Good IT skills with practical experience using CRM systems (e.g. Pipedrive or equivalent platforms) and digital tools.
- Target driven with bags of motivation to not just reach but exceed your targets
- Excellent partnering skills (communication and relationship)
Competencies:
- Ability to work under pressure and set and achieve high standards within tight timeframes
- Exceptional written and verbal communication, comfortable communicating casually yet professionally on WhatsApp as well as formally on phone calls and emails
- Self-disciplined, highly organised, and fully comfortable working remotely from home (with flexibility to attend monthly meet-ups)
- Empathetic, customer-focused, and composed when triaging enquiries or redirecting sensitive complaints.
- Technical systems knowledge - implementing and maintaining systems
