Heads Talent Solutions partners with a multinational innovative pharmaceutical company that has been improving healthcare for over a century. For their team, we are looking for a proactive and detail-oriented Marketing Assistant.
Key Responsibilities
Administrative & Operational Support
- Providing daily administrative and team support to the Marketing Department
- Close cooperation with Product Managers and MA Manager
- Cross-functional collaboration with Sales, Finance, Compliance and other departments
Contract & Documentation Management
- Preparation of sponsorship, authorship, service and donation agreements
- Managing contract lifecycle (creation, signing via DocuSign, archiving, monitoring)
- Verification of legal entities in official databases
- Maintaining documentation archives and CV database
- Supporting inspection and compliance processes
Compliance & Reporting
- Cooperation with Compliance and Finance regarding agreements and marketing activities
- EFPIA spend capture process management (data entry, consent collection, reporting)
- Ensuring accuracy, compliance and alignment with company policies
Event & Meeting Management
- Organizational support for sponsored events and marketing meetings
- Preparation of participant lists, rooming lists and cost specifications
- Communication and negotiation with vendors and event organizers
- Monitoring payments and supporting financial documentation
- Logistical support for F2F meetings (Cycle meetings and other events)
Required Qualifications & Competencies
- Bachelor's degree
- Minimum 2+ years of relevant experience
- Excellent English skills (written and spoken)
- Strong organizational and documentation management skills
- High level of accuracy, compliance awareness and attention to detail
- Excellent coordination and communication skills
- Proactive mindset with ability to improve processes
- Adaptable, reliable and able to work under pressure
- Strong team player with a collaborative approach
