We are seeking a highly organized and proactive Office Manager to oversee the integral management of administrative processes, office resources, and logistical support. The ideal candidate will serve as the central point of communication for all employees, ensuring that working conditions and administrative procedures align with organizational needs to maintain a flawless business space. A strong ability to coordinate procurements, manage budgets, and oversee day-to-day operations is essential to achieving maximum operational efficiency and fostering a professional work environment.
Your Job Responsibilities will include:
- Business communication in Serbian and English, via phone, and email.
- Preparation and execution of written correspondence, letters, presentations, and reports, as well as sending informative emails.
- Providing comprehensive administrative and communication support to all employees.
- Assisting employees in mastering the English language.
- Organizing all tasks related to maintaining the office space, offices, and office equipment.
- Coordinating and managing meeting rooms, logistics for meetings with partners (including catering), and logistics for internal meetings.
- Assisting employees during external visits.
- Organizing lunch groups, smoking breaks, and monitoring the cafeteria.
- Collaborating with relevant employees in establishing, implementing, and adhering to internal rules and procedures within the company.
- Supporting the planning and organization of company events, external meetings, and visits.
- Organizing official trips, transportation, and accommodation arrangements for employees (excluding the CEO).
- Keeping records and procuring office supplies, restroom, and kitchen hygiene products.
- Managing internal expenses and office budgets according to accounting guidelines.
- Maintaining records of water and coffee consumption and handling procurement.
- Placing and keeping records of orders for work equipment used by employees in pilot production.
Position Requirements:
- Proficiency in Serbian and English (both written and spoken).
- Excellent interpersonal and communication skills.
- Computer literacy.
- High school diploma (4-year secondary school degree).
