Operations Manager Assistant (Trucking & Fleet Operations)

Position Summary
We are seeking a highly organized and dependable Operations Manager Assistant to support the daily operations of our trucking company.
This position works directly with the Operations Manager to ensure efficient fleet operations, assist dispatch, coordinate drivers, schedule maintenance, and keep day-to-day operations running smoothly.

Key Responsibilities
- Assist with daily fleet operations and support the Operations Manager in managing company drivers and equipment.
- Provide dispatch support by tracking loads, updating load statuses, and communicating with drivers and customers.
- Coordinate driver schedules, time off requests, and ensure drivers have the information needed for successful deliveries.
- Schedule preventive maintenance, inspections, repairs, and coordinate with vendors and repair facilities to minimize equipment downtime.
- Monitor truck and trailer availability and maintain accurate fleet records.
- Track maintenance schedules, registrations, permits, insurance documents, and compliance deadlines.
- Communicate with drivers regarding maintenance issues, breakdowns, route changes, and operational updates.
- Assist with customer service by providing shipment updates and resolving operational issues.
- Prepare daily and weekly operational reports, fleet performance metrics, and maintenance summaries.
- Maintain organized digital files, Standard Operating Procedures (SOPs), and company documentation.
- Help improve operational processes to increase efficiency, reduce downtime, and support company growth.
- Perform additional administrative and operational duties as assigned.
Qualifications
- 2+ years of experience in trucking, transportation, logistics, dispatch, fleet management, or operations support preferred.
- Strong understanding of trucking operations, dispatch procedures, and fleet maintenance scheduling.
- Proficiency with Microsoft Office (especially Excel) and transportation management software (TMS).
- Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Strong communication in English.
- High school diploma or equivalent required; additional education in Business, Logistics, or Transportation is a plus.
