Position Overview 

CIBT is seeking a Project Coordinator to join the Service Enablement Team. The position will be based out of our Belgrade office. In this role, you will be supporting the Service Enablement leaders in the execution and completion of client solutions and implementation tasks and projects. The role involves coordinating various project activities and communicating with team members and stakeholders.  

In this role, you will develop and maintain in-depth expertise of CIBT’s client configuration processes within proprietary systems, using this knowledge to recommend or solution for client onboarding. You’ll gain a deep understanding of CIBT’s operations to support issues affecting optimal functioning and recommend system enhancements for efficiency and revenue growth. This role will be highly visible across CIBT’s commercial and operational functions. 

Duties and Responsibilities:  

  • Assist in the execution of client implementation activities, supporting client implementation managers with their project, organize & facilitate project meetings. 
  • Assist with the management of project plans, tracking tasks, coordination with clients and internal functions to collate project requirements/documentation.  
  • Support Finance with client onboarding compliance and credit check process. 
  • Team coordination – delegating administrative tasks to the administrative team and ensuring tasks are completed per schedule. 
  • Stakeholder communication and management – support in proactive communication with internal stakeholders to provide project updates and address concerns.  
  • Escalation/Exception management – identify potential out of scope requests and bring to SE management attention to mitigate downstream impact. 
  • Reporting – assist in generating project status reports for management and stakeholders
  • Managing unique client onboarding system configuration tasks, website customizations, rate plan system updates.  
  • Coordinate with internal business functions and leaders to establish requirements to be able to create and establish new rate plans and products successfully in our systems. 
  • Manage repetitive updates such as Rate and Product configuration within our systems. 
  • Support leaders with system set-up tasks and configurations associated with new business. 
  • Document and maintain best practice Standard Operating Processes, and maintain process and project documentation in a central repository. 
  • Collaboration with Development to troubleshoot technical issues and bugs. 
  • Management of Prepaid programme. 

Education and Qualifications

  • Graduate level degree or equivalent
  • Fluency in written and spoken English language
  • Have experience using Microsoft Outlook, and Office (Word, Excel, PowerPoint).
  • Previous experience using different software applications, content management systems and proprietary technology
  • Previous experience working with project management tools/software is a plus
  • Experience in troubleshooting, system design, or configuring a system based on a given set of requirements 
  • Proactive attitude toward learning new technologies 
  • Possesses excellent communication skills with ability to present information verbally and in written form
  • Ability to explain processes in a clear, simple manner to a broad base of recipients
  • Ability to communicate technical concepts clearly to both technical and non-technical stakeholders 
  • Able to work with people at different levels within the organization, adjusting the output and language used depending on the audience
  • Results oriented and operates with a strong level of accountability, confidentiality, precision and have first-time right nature  
  • Delivers high-quality results with strong organizational skills and attention to details. 
  • Have a proactive, can-do attitude and strong research skills 
  • Ability to multitask and meet deadlines consistently. 
  • Proven ability to effectively multitask and prioritize tasks 
  • Ability to meet deadlines while maintaining high-quality of work 
  • Previous experience working with cross-functional teams is desirable
