Real Estate Operations Manager
About Us
HUTA d.o.o. is a privately held, owner-managed real estate company with a small, carefully assembled portfolio: premium residential apartments in the Belgrade Waterfront district — Kula Beograd, BW Aqua, BW Aurora, BW Arcadia — alongside commercial space in Zemun and Subotica leased to established corporate tenants, including international retail names such as JYSK and Forma Ideale.
We are now hiring the first operational hire in the company's history. This person will be the single point of coordination between the owner, the tenants, the property managers, and the external accounting and tax advisors. It is a role of unusual proximity and unusual trust — and correspondingly unusual autonomy for the right person.
Key Responsibilities
Tenant relations
- Act as the first and primary point of contact for residential and commercial tenants
- Manage lease enquiries, handovers, viewings, move-ins and move-outs
- Resolve day-to-day matters promptly and courteously, escalating only what genuinely requires the owner's decision
Property management coordination
- Coordinate and supervise external property management companies, building administrators and service providers across all locations
- Monitor maintenance, repairs and service quality; obtain and compare quotations
- Conduct periodic site visits in Belgrade, Zemun and Subotica and report on condition and occupancy
Financial administration
- Collect, verify and organise invoices, rent payments, utility statements and supporting documentation
- Prepare complete, well-structured monthly and quarterly packages for the external accountants and tax advisors
- Monitor rent collection, flag arrears early, and track operating costs against budget
Contract and document management
- Maintain the lease register: terms, indexation dates, renewal and termination deadlines, deposits, guarantees
- Prepare draft leases, annexes and correspondence for the owner's review
- Liaise with legal counsel on documentation and with authorities on registrations and filings
- Keep a clean, complete and immediately retrievable digital archive
Executive support
- Manage correspondence, scheduling and follow-up on behalf of the owner
- Prepare concise briefings and decision-ready summaries
- Own deadlines end to end — nothing should require a reminder
Your Profile
- Fluent, polished English — written and spoken. This is non-negotiable: much of the correspondence, reporting and advisory communication runs in English. Fluent Serbian is equally essential.
- Proven administrative or operational experience in Serbian real estate, property management, facility management, or a comparable administrative role with strong exposure to contracts and invoicing
- Working familiarity with Serbian administrative practice — leases, utilities, municipal and tax-adjacent paperwork, and how to get things done with counterparties and authorities
- Absolute discretion. You will see the internal affairs of a private company and its owner. Confidentiality is a condition of the role, not a preference.
- Exceptional organisation. Structured, accurate, methodical. Deadlines tracked without being chased. Documentation that is complete the first time.
- Independent judgement. You will not be managed daily. You will be trusted to identify what needs doing and to do it.
- Confident with digital tools (Office/Google Workspace, digital filing, basic accounting or property software)
- Valid driving licence and willingness to travel between Belgrade as required
What We Offer
- A fixed monthly net salary in the range of EUR 1.700– EUR 2.200, deliberately positioned above the Belgrade market for this role, depending on experience and qualifications.
You will have an initial three-month probation period.
- Direct, daily collaboration with the owner. No intermediate management, no committee. Your work is seen, and your judgement is acted upon.
- A flat structure and genuine autonomy — the mandate to shape how this function operates, because you will be the one building it

- An office in Belgrade Waterfront, five days a week, at the centre of the portfolio you manage.
We are open to discussing shorter working hours / part-time arrangements for the right candidate.
