Administrative & Legal Coordinator

(Temporary – Maternity Leave Replacement)
Location: Belgrade | On-site | Full-time or Part-time (negotiable)

About the Company

We are an international renewable energy company operating a wind power project in Serbia.
Our local office supports project construction, regulatory compliance, financial coordination, and day-to-day business administration.

We are currently seeking a responsible and well-organized Administrative & Legal Coordinator to join us as a maternity leave replacement.

This is a trusted and important coordination role within a small and dynamic team environment.

The Role

This position supports daily administrative operations, legal documentation, financial coordination, and internal processes.

The role focuses on coordination, organization, and communication, working closely with management, external accountants, and external legal advisors.

The successful candidate will be hands-on, detail-oriented, and comfortable working independently in a structured but flexible environment.

Key Responsibilities

Administrative & Office Coordination

  • Managing day-to-day administrative activities and documentation
  • Coordinating with suppliers, service providers, and external partners
  • Maintaining company records and document archives
  • Supporting internal administrative process improvements

Legal & Compliance Support

  • Preparing standard contracts, templates, and corporate documentation
  • Coordinating with external lawyers and notaries
  • Supporting contract review processes
  • Monitoring regulatory updates and assisting management with compliance tracking

Financial & Accounting Coordination

  • Liaising with external accounting and bookkeeping providers
  • Organizing invoices, payment documentation, and financial records
  • Supporting internal financial documentation flow

HR & Employment Documentation

  • Preparing employment-related documentation (templates provided)
  • Maintaining personnel files and HR records
  • Supporting labor-law compliance processes

Communication & Translation

  • Serbian–English business communication
  • Translation of documents and correspondence
  • Coordination with international partners

Requirements

  • University degree (Law, Business Administration, or related field preferred)
  • 3–7 years of relevant professional experience
  • Experience in administrative, legal coordination, compliance, or similar roles
  • Strong organizational skills and attention to detail
  • Ability to work independently and manage multiple tasks
  • Professional communication skills
  • Fluency in Serbian and English (written and spoken)
  • On-site availability

Preferred (not mandatory)

  • Basic knowledge of Serbian corporate or commercial law
  • Experience working with external accountants or legal advisors
  • Experience in international companies
  • Knowledge of Chinese language is considered an advantage

Working Arrangement

  • Temporary contract covering maternity leave
  • Full-time or part-time (negotiable during interview)
  • On-site role in Belgrade
