Junior Operations Analyst

About the Role

This entry-level position is ideal for a recent graduate who is analytical, organized, and eager to learn how a growing services company operates. The Operations Analyst will work directly with the COO and play a key role in maintaining the accuracy and efficiency of our core operational systems, including our PSA platform, sales booking process, reporting environment, and internal initiative tracking. Success in this role requires strong problem-solving skills, a comfort with numbers, and a natural curiosity about using AI to streamline recurring workflows. Graduates with backgrounds in Math, Economics, Engineering, or similar quantitative fields typically excel in this position.

Responsibilities:

PSA Administration and Project Setup

• Update bookings and ensure PSA data integrity
• Set up new projects, including billing rules and revenue recognition rules
• Create new user profiles and ensure proper configuration
• Process timesheet and expense rejections and manage proxy approvals
• Produce recurring operational reports, including utilization, revenue forecast, actual versus forecasted hours, and project margin

Sales Booking Process

• Verify that required documentation is complete and properly stored, including SOWs, MSAs, and LOEs
• Create and maintain the weekly sales booking report

Reporting and Analytics

• Publish the weekly revenue visibility file by combining PSA revenue information and the sales pipeline
• Prepare a weekly executive dashboard covering operational performance
• Produce practice-level pipeline reports and marketing metrics
• Support ad hoc data analysis requests to guide strategy and performance management

Internal Project Coordination

• Track progress of internal initiatives and ensure timely updates
• Support cross-functional communication and organization for priority projects

AI-Assisted Process Improvement

• Identify recurring tasks that can be streamlined through AI workflows
• Build simple automation solutions using modern AI tools with guidance
• Maintain documentation of processes and automations

Ideal Candidate Profile:

• Quantitative academic background such as Math, Economics, Finance, Engineering, or similar
• Strong analytical mindset with close attention to detail
• Strong knowledge of English, both verbal and written
• Comfortable learning technical systems quickly
• Curious about AI and motivated to automate repetitive tasks
• Clear communicator who can work across teams and manage competing priorities
• Proficient in Excel or Google Sheets
• Familiarity with business operations, PSA tools, or CRM systems is a plus but not required
