Purpose of role:

This is a remote, fixed-term (12 months) full-time position based in Serbia, with working hours 10am-6pm CET Monday to Friday.
Our People Experience Assistant role is pivotal in providing proactive, accurate, and human service to our people. You will play a key role in developing, automating, and delivering People processes that cover the full team member lifecycle, ensuring our people experience is intentional, empowering, and human.

Reporting into the People Experience Partner, this role will be the first point of escalation for team members across the company and is critical in ensuring our day-to-day services are efficient, frustration-free, and scalable.

Key responsibilities and tasks:

People Experience 

  • Champion the People Experience (PX): Working backwards from the needs of all team members, you will actively contribute to a thriving, inclusive, and engaging work environment.
  • Coach and Guide: Act as a coach and guide, enabling managers to lead brilliantly, championing wellbeing, inclusion, and using insight to continuously elevate the people's experience.
  • Nursery Partnering: Partner directly with our nurseries to advise, support, and ensure our People processes are clearly understood and consistently followed. This includes providing first-line guidance and support on lower-risk Employee Relations (ER) cases.
  • Payroll checking: Checking elements of our monthly payroll.

Process & Administration Excellence

  • First Point of Contact: Serve as the first point of escalation for general team member queries, managing our shared inbox, processing day-to-day administration requests with exceptional attention to detail and meeting all deadlines.
  • Project Contribution: Contribute in various People projects and initiatives, taking ownership of deliverables to enhance the team member experience.
  • Process Automation & Improvement: Drive efficiency by working on the automation of our day-to-day admin processes. You will use data and mechanisms to inspect processes, constantly iterating and improving them to be fit for purpose and future-proof.
  • Compliance: Ensure full legal compliance across all People processes and documentation, including conducting audits on our people’s data, being responsible for maintaining our process notes and n-tranet articles up to date. 
  • End-to-End Administration: Provide proactive and accurate service to our people through our end-to-end administration processes, and development of all People processes covering the full team member life cycle.
  • ER Processes: Support fair and transparent employee relations by managing Subject Access Requests and accurate meeting documentation. 

Data & Systems Management

  • System Super User: Being a ‘super user’ on our People systems, including HiBob, and guiding our people on how to use them effectively.
  • System Liaison: Liaising with our HiBob account manager and technical support to ensure the system is used to its full capability and People processes can be managed from there centrally.
  • Permissions: Managing and maintaining permission levels on HiBob.
  • Reporting & Analysis: Producing regular and ad-hoc reports as required by internal management and for external regulatory purposes. This includes producing and analysing People data—e.g., probation, annual leave, contracted hours, etc.—for communicating trends, ensuring data is accurate, and for identifying where processes need creating or updating.

Experience:

  • Experience working with HR systems, specifically HiBob is desirable
  • Experience working in fast-paced and agile teams
  • Ideally some experience within (but definitely a passion for) the Early Years or Education sector

Qualifications/Training:

  • Level 3 CIPD or equivalent is desirable but not essential

Competencies:

  • Exceptional attention to detail and accuracy
  • Excellent communication skills, both written and verbally, with confidence to communicate with all stakeholders across the business and build effective relationships 
  • Strong problem-solving skills with a passion for dealing with open-ended, and ambiguous challenges
  • First class organisation skills with excellent prioritisation and strong follow-up skills 
  • A passion for delivering an outstanding human-centered service.
  • Big plus if you are tech savvy (implementing and maintaining systems)
  • A developing knowledge of legislation and the practical application of the law in terms of policies, procedures, and employment law
