The Software Licensing Analyst is responsible for overseeing the acquisition, tracking, compliance, and optimization of all software licenses across the organization. This role ensures that the company maintains full compliance with licensing agreements, minimizes legal and financial risks, and maximizes cost efficiency through effective license utilization and vendor management.

Key Responsibilities

License Management & Compliance

  • Manage and maintain an accurate inventory of all software assets and licenses.
  • Ensure compliance with licensing agreements, legal requirements, and internal policies.
  • Conduct regular internal audits to identify discrepancies and prevent compliance risks.
  • Prepare for and manage external vendor audits.

Vendor & Contract Management

  • Negotiate and manage software license agreements, renewals, and maintenance contracts.
  • Build and maintain strong relationships with software vendors and resellers.
  • Evaluate new licensing models and advise on cost-effective options.

Financial & Strategic Oversight

  • Develop and maintain a software licensing budget.
  • Analyze usage data to optimize license allocation and reduce waste.
  • Provide regular reporting on software spend, usage, and compliance posture.
  • Identify opportunities for cost savings and process improvement.

Process & Policy Development

  • Establish and maintain policies and procedures for software asset management.
  • Partner with IT, Finance, and Procurement teams to align software management with business objectives.
  • Support the implementation and continuous improvement of SAM (Software Asset Management) tools.

Governance & Risk Management

  • Monitor vendor changes (licensing terms, audits, product retirements, etc.).
  • Advise leadership on risks and best practices related to software licensing and usage.

Qualifications

Education & Experience

  • Bachelor’s degree in Information Technology, Business Administration, Finance, or related field.
  • 5+ years of experience in software asset management, IT procurement, or vendor management.
  • Proven experience managing software license compliance for major vendors (e.g., Microsoft, Oracle, Adobe, VMware).

Skills & Competencies

  • Strong understanding of software licensing models (subscription, perpetual, SaaS, volume, enterprise agreements).
  • Excellent analytical, negotiation, and contract management skills.
  • Experience with SAM tools (e.g., Flexera, ServiceNow SAM, Snow License Manager).
  • Strong attention to detail and organizational skills.
  • Ability to work cross-functionally and influence stakeholders at all levels.
  • Good understanding of ITIL and asset lifecycle management principles (preferred).

Certifications (optional but desirable)

  • Certified Software Asset Manager (CSAM)
  • ITIL Foundation
  • Microsoft Licensing Specialist or equivalent
