Marketing Assistant Oncology – Serbia & CBC.

Contract: Temporary, full time

Job focus

To provide an efficient secretarial service and comprehensive administrative support to the Oncology Team. This position reports to the Senior Strategy Manager Oncology Serbia & CBCs.

Responsibilities

  • Responsible for logistics of meetings including conference room reservations, teleconference, videoconference, food ordering and associated meeting logistics.
  • Organization, prioritization, and handling of daily office activities.  This will require effective calendar management, including scheduling meetings, teleconferences and videoconferences.
  • Travel management required.  This often includes complex international travel, visa preparation, ground, and hotel as well as selecting restaurants/menus.
  • Process expense reports (i.e., creating and submitting expense reports; gathering receipts and charge details; and AMEX reconciliation).
  • Management of meeting logistics internationally will be required, working with Pfizer colleagues in other countries or meeting planner in partnership with a regional brand director to assist the department in organizing special projects and key Pfizer customer events, provide back-end logistics assistance to  regional marketing events.
  • Manage the opening of purchase orders through Ariba and help with forecasting and budget management across the three teams, working knowledge of ePA3 and Pfizer financial systems in Ariba a plus.
  • Assist the Regional Brand Directors with management of projects and tactics in GCMA project  tracking system, including uploading of documents, tracking approvals and distribution of final approved materials to the markets.
  • Help to prepare and edit correspondence, communications, presentations and other documents.

Qualifications

Candidate should have a minimum of a high school degree or equivalent with few years administrative experience that demonstrates an ability to carry out all office functions proficiently and to complete quality work on a timely basis.

  • Demonstrated strong self-starter, independent, pro-active and self-motivated while having the flexibility to handle change calmly and professionally
  • Ability to work well both in team environment as well as operate independently with minimal supervision
  • Possess excellent communication skills with an ability to respond with professionalism in verbal and written communications with all levels of the organization
  • Proficiency in MS Word, Excel, PowerPoint and Outlook
  • Fluency in English is a must
