About the role

This is a remote full-time position based in Serbia, with working hours 10am-6pm CET Monday to Friday.

We are looking for a highly organized and experienced Senior Marketing Assistant to provide high standard of administration support to our Marketing Team

Specific duties and responsibilities:

Workflow management & budget:

  • Managing the time and resource in the creative team - design & video production
  • Oversight of all creative briefs and liaising with the wider support team
  • Responsible for the timely delivery of all projects.
  • Responsible for putting all invoices on Spendesk and logging against the team budget

Content coordination:

  • Working with the social media associate to coordinate nursery visits
  • Social media analytics
  • Responding to social media direct messages

Launch production:

  • Liaising with suppliers for brochure print and distribution
  • Liaising with photographers to book in new nursery shoots
  • Adding photography shots plus 360 to the website and all relevant platforms
  • Resource management: ensuring new nursery receives all resources required for opening including ordering artwork, posters, and N branded resources e.g. lanyards, hi-vis jackets, etc.
  • Setting up new nurseries with a Screencloud account
  • Covering the launch & local marketing assistant

Website content management:

  • News updates
  • What’s on updates
  • Family Hub updates

Family Club

  • Event management and ticketing process
  • Emails to all invites
  • Hosting event once/ twice a month in the evening

Company newsletters:

Family Club newsletter:

  • Working with our content editor to create monthly Family Club newsletter - inputting content into Mailchimp and sending to database
  • Create events in Eventbrite
  • Uploading events to What’s On page of the website
  • Create meetings in Zoom for each event
  • Create event call sheets and send to the supplier and the N Family Club team host assigned to that event including Zoom details and contact information of those attending
  • Uploading supplier invoices in Spendesk, our spend management system
  • Using InDesign to create a What’s on poster and sending to all nurseries

The Dispatch newsletter:

  • Working with our content editor and senior content manager to gather content, inputting this into Mailchimp and sending to database

Dreamers & Changemakers newsletter:

  • Working with our senior content manager to gather content from wider teams within the business, inputting this into InDesign template and sending to team on Hibob - our HR system
  • Individual nursery newsletters QA
  • Monthly check of which nurseries have completed their newsletter and report to each regional director
  • Monthly quality check: did they complete and send their newsletter, did they follow the Google Slides template, is the design as it should be?

Team bio organisation:

  • Ensuring that each nursery’s manager, deputy manager(s) and front-of-house has provided a bio about themself and a photo
  • Using Photoshop to edit each photo - basic use of a template: resizing, brightening, colour correcting as needed.
  • Proofreading and editing of written bio
  • Uploading bio on to website

Resource management:

  • Maintaining stock levels of all of our welcome pack items, team welcome pack items and additional branded resources
  • Ordering additional stock from suppliers as needed
  • Notifying our warehouse of order deliveries
  • Monthly report to the finance team for any nursery orders to ensure any nursery spending is captured on budgets
  • Keeping on top of our print matrix, ensuring any increase in costs are captured and that welcome pack costs remain on budget

Additional responsibilities:

  • ScreenCloud - ensuring nurseries are displaying appropriate content with is on brand. Changing nursery display screens on special/celebration days and ensuring content is changed back the following day
  • Using Google Slides template to create weekly menu and sharing with nursery front of houses
  • Additional content assistance: Using InDesign, Photoshop and iMovie to assist the senior content manager with the creation of some content pieces. Some assistance with posting content on social media/scheduling posts on Sprout social.
  • Providing administrative and project support which may not be specifically included within this job description, but is consistent with the general level of the job and responsibilities described.

Working experience requirements:

  • Experience in the same or similar positions
  • Experience working in fast-paced and agile teams is desirable
  • Experience working remotely in an administrative role is desirable

 About you

 Competencies:

  • Excellent English communication skills, both written and verbally, with confidence to communicate with all stakeholders across the business and build effective relationships
  • Excellent IT skills, competent with Microsoft Office, Google Workspace and other cloud-based systems
  • Previous experience using WordPress preferred
  • Some basic understanding of InDesign & Photoshop preferred
  • A developing knowledge of technical systems and the willingness to update knowledge continuously
  • Exceptional attention to detail and accuracy
  • Excellent organisation skills with excellent prioritisation and strong follow-up skills
