About the role

This is a remote full-time position based in Serbia, with working hours 10am-6pm CET Monday to Friday. Based on the nature of the role, we are looking for someone who is flexible depending on business needs.

We are looking for a highly organized and experienced Personal Assistant to provide one-to-one administrative support to the CEO and our senior leadership team, along with general administrative assistance to other teams when required.

Specific duties and responsibilities:

Provide one-to-one support to the CEO and senior leadership team while maintaining confidentiality of sensitive information and a high level of professionalism:

  • Act as the first point of contact by dealing with multiple inboxes and responding,  passing messages or highlighting urgent matters
  • Manage multiple diaries and organize meetings and appointments
  • Research, book and arrange complex travel, transport, restaurants and accommodation and create detailed plans and supporting itineraries
  • Liaise with internal teams and external contacts to complete tasks and projects
  • Compile and prepare internal and external reports and presentations in multiple formats
  • Coordinating key events and meetings that may involve multiple stakeholders
  • Proactively manage deadlines and reminders for important tasks
  • Collating and accurately processing expenses
  • Organize and maintain systems, databases and processes such as shared drives
  • support the CEO to manage his personal affairs to free up time to focus on the business (as an example organizing gifts for birthdays, writing anniversary cards and arranging travel etc)
  • Additional tasks to support the success of the business

Provide general assistance to a wider team:

  • Support with various administrative tasks as required (research, record keeping, reporting, data management, project deliverables etc.)
  • Provide cover for other assistants during periods of holiday and other absence when requested
  • Provide administrative and project support which may not be specifically included within this job description, but which is consistent with the general level of the job and the responsibilities described.

Work experience requirements:

  • Experience working remotely in a team or one to one Personal or Executive Assistant role reporting directly to c-suite
  • Experience working in fast-paced environments where agility is required
  • Experience working autonomously and independently with the ability to prioritise own workload on a daily basis

  • Excellent English communication skills, both written and verbally, with confidence to communicate with all stakeholders across the business and build effective relationships
  • Excellent IT skills, competent with Google Workspace and other cloud-based systems
  • Exceptional attention to detail and accuracy
  • Excellent organisation skills with excellent prioritisation and strong follow-up skills
  • Flexibility to reprioritise effectively and respond to requests for information at short notice.
  • Ability to manage multiple requests and tasks.
  • Ability to work in spreadsheets & prepare presentations
