Dundee Precious Metals is a Canadian-based, international mining company engaged in the acquisition, exploration, development, mining, and processing of precious metals properties. DPM operates across Serbia, Bulgaria and Ecuador with headquarters in Toronto, Canada.
For the needs of our Administration department in Belgrade, we are currently looking to recruit a candidate for the Administration Officer position.
Role Purpose:
The main role of the Administrative Officer will be to support our daily office procedures and ensure our administrative activities run smoothly on a daily and long-term basis. A successful Administrative Officer will act as the point of contact for all employees, providing administrative support and managing their queries. Main duties include managing office stock, receiving and forwarding communications and organizing company records. Our ideal candidate also has working knowledge of office equipment and office management tools.
Description of responsibilities:
- Manage the day-to-day operations of the office, including scheduling meetings and appointments, organizing files, and handling correspondence;
- Act as the point of contact between executives and internal/external stakeholders;
- Support with any administrative tasks as required, including filing, preparing purchase and payment requests and receiving invoices (matched against approved purchase orders or contracts), especially drilling invoices and custom clearance documentation;
- Greeting and directing visitors, answering phone inquiries and handling complaints in a courteous, professional manner;
- Maintain and update company databases;
- Organize and maintain the office filing system, including electronic and hard copy documents; Updating and maintaining company database in accordance with the company's practice and new relevant legislation on archiving, with special reference to electronic archiving;
- Provides front desk coverage, answer queries by employees and clients;
- Receive all correspondences, including mails, letters, and deliveries, and ensure to distribute it accordingly;
- Oversee office consumable and stationary stores management, restocking office consumables and supplies, monitoring consumption and stocks and reviewing stock reconciliations as required;
- Maintain and update lease agreements and coordinate the renewal of leases for office premises/ Act as the focal point for liaison with landlords;
- Liaise with HR, Finance and Procurement departments in both Bor and Belgrade office for maintenance requests and services payments;
- Assistance in organizing events, including ordering materials and requisitioning meeting spaces; Book meeting rooms as required;
- Make necessary arrangements and coordinate with logistics and admin team for appropriate travel and accommodation arrangements;
- Ensure hotel/venue invoices are received and reconciled. Verified invoices/payment sheets are submitted to finance department for payment;
- Conferring with accounting department to help make payments, process incoming invoices, and verify receipts;
- Key person in crises situation related to Belgrade office venue (e.g. resolving issues related to electricity and water supply; any damages and maintaining issues);
- Occasionally traveling off-site to deliver reports or files to other departments.
Requirements:
- Preferably bachelor’s degree in business administration, Public Administration, or related subject or High school diploma with relevant working experience;
- At least 2 years' experience in administration; Experience in the Mining or / and Exploration industries will be an advantage;
- Good working knowledge of Microsoft office package (Ms Word, Excel, Power point, email) and proficient user of office equipment (photocopier, scanner etc.);
- Solid knowledge in English;
- Strong communication, interpersonal, and organizational skills;
- Good listening skills, with high levels of attention to detail
- Comfortable working independently when needed, or as part of a team
- Operating copy equipment, fax machines, printers or other equipment necessary;
- Driving license – desirable.
