Administrative Associate

Responsibilities:

• Receives, organizes, prepares and logs into the ERP system of the company or the excel data bases all fiscal documents
• Ensures the data integrity in the ERP system
• Prepares detailed reports requested by the accounting vendor and financial department
• Reconciles payments towards partners and vendors
• Uploads Bank Payments
• Manages the Expense Reports of the employees and the advance payments towards them
• Coordinates and ensures the correct communication flow between internal departments and accounting/ financial institutions
• Maintains the database and portfolio of each project and ensures the data integrity in relation to vendor payments, collections of samples, billing statuses
• Maintains the database of the collected and stored samples
• Collects, summarizes, checks payroll information, and communicates it to the Payroll Department/Vendor
• Collects, summarizes, checks, archives information and communicates it to the Accounting Vendor/Department
• Maintains all the needed documentation and information in relation to company cars
• Orders office supplies
• Organizes business trips
• Creates, files, organizes company documentation
• Any further financial and admin ad hoc tasks

Qualifications:

• Very good command of Excel
• Fluent English
• Excellent analytical, problem-solving, and organizational skills
• Strong attention to detail and accuracy
• Ability to work independently and manage multiple tasks and deadlines
• Excellent communication and interpersonal skills
• Experience with financial audits
• High level of integrity and professionalism
