About the Job

We are www.everseen.com! This is the opportunity to join our 100+ strong Artificial Intelligence R&D Center in Belgrade at the position of Administrative/Office Manager.

Responsibilities

Management regarding administration and office including:

  • Communicating with the internal finance, external accountant and with banks, preparing payment instructions, other files and reports
  • Providing accountant with the up-to date documentation
  • Partner with HR to update and maintain office policies as necessary, and to provide assistance with other HR activities, as necessary
  • Assist in the onboarding process for new hires
  • Filing documentation including on-line, excel and in hard copy
  • Serve as the point person for office manager duties including:
  • Maintenance
  • Mailing
  • Supplies
  • Equipment
  • Bills
  • Errands
  • Shopping
  • Schedule meetings and appointments
  • Organize the office layout and order stationery and equipment
  • Maintain the office condition and arrange necessary repairs
  • Ensure that all items are invoiced and paid on time
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Provide general support to visitors
  • Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Plan in-house or off-site activities, like parties, celebrations and conference
  • Keep minutes of the meetings

Requirements

  • Relevant experience, ideally in IT, HR or Finance sectors
  • University education
  • Fluent English
