Executive Assistant

To support the Managing Director in administrational and organizational tasks thereby ensuring efficient company operations.

Your responsibilities:

  • Assists the Managing Director in all organizational and administrational matters;
  • Manages the Diary of the Managing Director, organizes internal and external meetings including set up of all appointments;
  • Preparation and distribution of presentations/minutes of Managing Director’s meetings;
  • Liaises between Managing Director and his/her direct reports and the other business units to endure a timely and effective communication flow;
  • Conducts research, compiles data and prepares papers for consideration and presentation by the Managing Director;
  • Manages incoming communications and mail processing;
  • Travel management including travel arrangement, booking accommodation and schedule of all working activities;
  • Organization of external and internal events;
  • Manages small project and/or project tasks from larger projects;
  • Creates and prepares authorizations, letters, reports, statements, notifications, decisions, offers and other documents ready to be signed. Archives documents;
  • Supports, administrates and updates relevant information on the intranet;
  • Supports the Head of HR in organizational and administrational matters.

Your profile:

To fulfill this position successfully, your qualifications must include:

  • Commercial or secretarial education;
  • 3 years proven track record as Assistant at senior level, preferably in an international environment;
  • Proficiency in MS Office;
  • Excellent Serbian and English, spoken and written;
  • Highly organized and systematic in working;
  • Excellent interpersonal and communication skills and a strong client service focus;
  • Sensitivity to confidential matters is required;
  • Good Time Management, ability to multi-task, and manage your own work load;
  • Independent and proactive working, creative, and a team player.
