Hours: 6am – 3pm CST / 1pm – 10pm CET

Position Summary

The Safety & Fleet Specialist plays a critical role in driving a culture of safety, compliance, and operational excellence across our truck fleet, while working remotely. This individual will be responsible for end-to-end oversight of driver compliance, vehicle safety programs, DOT regulatory adherence, and performance tracking—despite being physically distanced from fleet terminals and equipment. The specialist will partner closely with dispatchers, mechanics, drivers, and leadership to implement data-driven strategies that reduce risk, optimize fleet usage, and maintain high safety standards.

This role requires a high level of independence, strong data acumen, and the ability to build trust and accountability through remote communication.

Key Responsibilities

1. Driver Compliance & Safety Oversight

  • Maintain complete and accurate Driver Qualification Files (DQFs) for all fleet drivers, ensuring alignment with DOT/FMCSA regulations.
  • Monitor Electronic Logging Devices (ELDs) daily to ensure compliance with Hours of Service (HOS) regulations, proactively flagging violations or concerning trends.
  • Administer regular compliance audits for driver logs, DVIRs (Driver Vehicle Inspection Reports), and training completion records.
  • Coordinate random and post-incident drug and alcohol testing in accordance with FMCSA rules, leveraging third-party consortiums.
  • Conduct virtual driver orientations, safety briefings, and onboarding sessions using digital tools and video conferencing.

2. Risk Mitigation & Incident Response

  • Serve as the first point of contact for any reportable incidents, including accidents, injuries, citations, and roadside inspections.
  • Initiate and manage accident investigations remotely—collecting statements, telematics data, and photos from field personnel.
  • Prepare accident summaries and root cause analyses, and work with fleet leadership to implement preventative measures.
  • Manage insurance claims lifecycle: gathering documents, submitting reports to third-party administrators, and coordinating resolution with internal and external stakeholders.

3. Fleet Equipment Oversight & Preventative Maintenance Tracking

  • Track vehicle inspection status, registration renewals, and scheduled preventative maintenance via telematics platforms and fleet management systems.
  • Work with maintenance teams (remotely or on-site) to ensure timely servicing of all units, reducing breakdowns and DOT violations.
  • Monitor diagnostic codes, alerts, and vehicle downtime using telematics tools such as Samsara, Geotab, or KeepTruckin.
  • Maintain digital asset records for tractors, trailers, and company-issued equipment including tracking of unit assignments and replacements.

4. Telematics & Data Utilization

  • Leverage telematics data to monitor driver behavior: harsh braking, speeding, idling, route deviation, and unauthorized use.
  • Use dashboards to identify trends and performance gaps, and generate monthly scorecards for both individual drivers and fleet-level metrics.
  • Work closely with dispatch and operations to provide actionable insights that improve safety outcomes and equipment utilization.

5. Training, Engagement & Continuous Improvement

  • Deliver virtual safety training using LMS platforms and facilitate remote coaching based on driver performance metrics.
  • Keep drivers informed and engaged through monthly safety newsletters, recognition of safe driving milestones, and constructive feedback.
  • Act as a cultural ambassador, reinforcing a “Safety First” mindset across the organization—even while remote.
  • Continuously evaluate and improve safety policies, operational procedures, and documentation workflows.

Qualifications

  • Bachelor’s degree preferred, ideally in Transportation, Occupational Safety, Supply Chain, or related discipline.
  • Minimum 3–5 years of experience in fleet safety, DOT compliance, or transportation risk management.
  • Strong knowledge of FMCSA/DOT regulations, CSA scoring system, and ELD/HOS compliance.
  • Proficiency in Microsoft Office Suite, Google Workspace, and digital platforms such as:
  1. ELDs/Telematics: Samsara, Geotab, Motive (KeepTruckin), Omnitracs
  2. Fleet Systems: Fleetio, TMW, or similar platforms
  3. Document Management: DQF systems like Tenstreet, Foley, or DriverReach
  • Proven success operating independently, communicating cross-functionally, and solving problems without daily onsite presence.
  • Ability to travel periodically (up to 10–15%) for audits, training, or compliance reviews.

  • Regulatory Compliance: No major violations in DOT audits or roadside inspections.
  • Safety Improvement: Declining trend in preventable accidents and unsafe driving behaviors.
  • Driver Engagement: High training participation and strong adoption of safe driving practices.
  • Fleet Readiness: 95%+ of vehicles maintained on-time for preventative maintenance.
  • Data Accuracy: 100% completion of DQFs and inspection records within system deadlines.
  • Remote Leadership: Strong trust and collaboration with drivers and dispatchers despite remote setup.
