We are seeking an experienced and detail-oriented US Payroll Specialist to join our team and support our partner company, Orchestra. Orchestra operates within a network of eight strategic communication and marketing agencies, including BerlinRosen, Derris, Glen Echo Group, Inkhouse, Message Lab, M18, Onward, and Brightmode Talent. Collectively, they boast over 600 storytellers and strategists across 12 cities in North America and Europe. This network of leading agencies partners with companies, organizations, and business leaders in high-growth industries such as consumer products, climate and sustainability, education, social impact, hospitality, healthcare, real estate, and technology.
As the US Payroll Specialist, you will be responsible for managing and processing payroll, maintaining employee records, and supporting HR functions. The ideal candidate will have a strong understanding of payroll systems and general employee benefits for the US market, as well as possess excellent communication and organizational skills.
Responsibilities:
US Payroll Administration:
- Process and manage payroll for semi-monthly and bi-weekly employees, ensuring accuracy and compliance with federal, state, and local regulations.
- Maintain and update payroll information by collecting, calculating, and entering data.
- Process timesheets and Clicktime (current).
- Implement timecard reporting through Replicon (future). - Reconcile payroll prior to transmission and validate reports for accuracy.
- Maintain employee records in HRIS and payroll systems, ensuring data accuracy and confidentiality.
- Handle payroll-related inquiries and resolve any issues or discrepancies.
- Ensure all payroll taxes, deductions, and contributions are accurately withheld and reported, as well as verify tax setup.
- Review W-2s for accuracy and support year-end reporting as requested.
- Assist with onboarding new employees, including processing new hire paperwork and conducting orientation.
- Support employee benefits through Paylocity, including health insurance, retirement plans, and leave management.
- Conduct Employee Payroll Orientation.
- Support Paylocity integration from UKG.
HR Support:
- Provide employee support through Fresh Desk (handle basic employment verifications, including authorized mortgage verifications, support tax-related questions, manage address changes, etc).
- Provide team support via QuickBase (work with the HR Director to ensure compliance with state and federal postings, policies, and the latest legal notifications for the states we operate in. Collaborate with the HR Program Director to ensure benefits are added and calculated correctly in the Paylocity system).
- Review Paylocity ACA compliance monthly and assist in future action training with the HR Program Director.
Compliance and Reporting:
- Collaborate with the HR Director to ensure compliance with all applicable labor laws and regulations related to payroll and HR.
- Work with the HR Director to prepare and submit required reports to government agencies, such as tax filings and labor statistics.
- Assist with internal and external audits related to payroll and HR functions.
Benefits Support
- Add and remove employees from the Benefits Administration site.
- Audit benefits reports monthly.
- Ensure accurate and timely input of benefits information.
Continuous Improvement:
- Work with the HR Director to identify opportunities for improving payroll and HR processes for greater efficiency and accuracy.
- Stay up to date with changes in payroll and HR laws and regulations to ensure compliance.
- Participate in HR and payroll-related projects as needed.
Requirements:
- Written and verbal fluency in English
- Experience working with Paylocity
- Experience processing payroll for large organizations (200+ employees)
- Knowledge of the US overtime and employee benefits systems
- Proficiency in Clicktime, Replicon, Fresh Desk, and QuickBase is a plus
- Strong attention to detail and accuracy
- Enjoys working on administrative and payroll tasks
- Excellent organizational skills, with the ability to manage multiple priorities
- Strong communication and interpersonal skills
