Job Overview
We are seeking a detail-oriented and proactive HR and People Operations Manager to manage and enhance our HR processes, reporting, payroll coordination, and employee records management. This role will collaborate with multiple teams to ensure compliance with company policies and local labor laws while supporting employees throughout their lifecycle in the company.
Key Responsibilities
HR and People Ops Reporting
- Maintain and update HR and payroll reports on a monthly and quarterly basis.
- Collaborate with both Ivy Exec and InnovateMR teams to fulfill report requests.
Accounting & Payroll
- Liaise with the accounting firm for employee-related financial matters.
- Gather and provide necessary documentation for reimbursing medical and maternity, pregnancy leave (among others).
Employee Records Management
- Maintain and update employee records (both hard copy and electronic), including contracts, certificates, leave documentation, and company policies.
- Conduct monthly and quarterly audits to ensure records are accurate and up to date.
- Draft proof of employment letters and other employee-related documentation.
- Ensure all employee-related document templates comply with company policies and Serbian labor laws.
Job Leveling & Organizational Systematization
- Work with the CPO and Team Leads to define and update job positions and descriptions.
- Maintain up-to-date leveling documents across all teams.
- Update the Systematization Act with position, department, and headcount changes.
- Manage and maintain organizational charts and detailed job descriptions.
Employee Onboarding
- Draft employment agreements and necessary documentation for new hires.
- Schedule in-person signing of employment documents and ensure proper onboarding.
- Coordinate with IT to create new hire credentials and provide necessary tools.
- Set up employee profiles in BambooHR and prepare necessary equipment.
- Welcome new hires and conduct HR introduction meetings on their first day.
- Register new hires on the CROSO portal.
Employee Offboarding
- Prepare and coordinate the signing of mutual termination agreements and other legal documents.
- Notify IT support for deactivation of credentials and access removal.
- Conduct exit interviews to gather insights for organizational improvement.
- Update BambooHR and archive employee records upon departure.
- Manage benefits cancellation or transition, such as private health insurance.
- Ensure return of company equipment and completion of necessary exit procedures.
- Deregister departing employees from the CROSO portal.
Health & Safety Compliance
- Provide updated reports on employee headcount and job descriptions to the Health & Safety agency.
- Coordinate training documentation signing for employees and the director.
- Ensure all employees, including new hires, complete mandatory H&S training.
Private Health Insurance Administration
- Work with the insurance provider to add or remove employees from the company’s health insurance plan.
- Communicate with the insurance agency about policy renewals and potential changes.
Qualifications & Skills
- Experience in HR, People Operations, or a related role.
- Strong organizational and data management skills.
- Knowledge of Serbian labor laws and HR best practices.
- Familiarity with HRIS systems (e.g., BambooHR) and payroll processes.
- Excellent communication and collaboration skills.
- Attention to detail and ability to handle sensitive employee information with confidentiality.
