Position Overview
The Logistics Coordinator – Rail is responsible for coordinating and managing rail freight operations to ensure efficient, cost-effective, and timely transport of goods. This role involves close collaboration with various stakeholders—such as internal teams, rail carriers, warehouses, and customers—to optimize logistics strategies, troubleshoot issues, and meet company objectives for on-time delivery and cost control. The ideal candidate has strong organizational skills, knowledge of rail operations, and excellent communication capabilities.
Key Responsibilities
- Rail Shipment Coordination
- Schedule and monitor rail shipments, ensuring on-time pick-up and delivery.
- Track rail car movement, verify orders, and resolve discrepancies in coordination with suppliers, customers, and carriers.
- Prioritize shipments based on customer requirements and ensure all documentation is accurate and up to date.
- Carrier & Vendor Management
- Collaborate with rail carriers, freight forwarders, and other third-party providers to negotiate rates, address service levels, and resolve issues.
- Maintain strong relationships with rail service providers to secure capacity and optimize costs.
- Operational Efficiency & Cost Control
- Analyze and optimize routing, scheduling, and utilization of rail resources to minimize transportation costs.
- Identify opportunities to improve efficiency, reduce errors, and streamline rail logistics processes.
- Documentation & Compliance
- Prepare and maintain transportation documents, such as bills of lading, manifests, and customs paperwork.
- Ensure compliance with all relevant regulations and safety standards, including hazmat requirements if applicable.
- Inventory & Warehouse Coordination
- Work closely with warehouses to coordinate product availability and loading/unloading schedules.
- Monitor and reconcile inventory levels at multiple points in the supply chain for accurate record-keeping.
- Collaboration & Stakeholder Communication
- Serve as the primary point of contact for internal departments (procurement, sales, production, finance) on rail shipment updates and logistics constraints.
- Provide regular status updates and forecasts to management and key stakeholders, highlighting any risks or delays.
- Problem-Solving & Continuous Improvement
- Investigate and resolve transport and delivery issues, such as delayed shipments, damaged goods, or billing discrepancies.
- Proactively recommend and implement process improvements that enhance service levels or reduce costs.
Qualifications & Requirements
- Language: English Level B2 or better
- Education: Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or related field (or equivalent experience).
- Experience: 2+ years of experience in logistics, transportation, or supply chain roles, with exposure to rail operations preferred.
Technical Skills:
- Proficiency in logistics management software, freight tracking systems, and Microsoft Office Suite.
- Familiarity with rail transportation regulations, including hazmat handling if applicable.
Soft Skills:
- Exceptional organizational and time-management abilities.
- Strong negotiation, communication, and interpersonal skills.
- Detail-oriented approach to documentation and issue resolution.
- Ability to work under pressure, manage multiple tasks, and adapt to changing priorities.
