About Our Client
Our client is a boutique fractional CMO firm that supports service-based businesses with strategic, results-focused marketing. They work closely with founders and CEOs to build clarity and momentum—cutting out the noise, prioritizing what works, and driving growth through custom marketing strategies.
They are looking for a full-time Marketing Project Manager to support both client delivery and the firm’s internal marketing efforts. This is a long-term, fully remote role with opportunity to grow into more responsibility.
The Role
This is a hybrid role combining project management, content coordination, vendor communication, and light design execution. The ideal candidate is highly organized, proactive, and able to confidently manage timelines, deliverables, and vendors across multiple client accounts—while also supporting the firm’s internal brand and marketing efforts.
You will work directly with the founder and a team of external creatives (writers, designers, developers) to ensure all marketing deliverables are completed on time, on brand, and aligned with the strategic direction.
The firm uses Notion, Canva, Zoom, Google Drive, YouTube, Microsoft Office Suite, and Fresh CRM—experience with some of these tools is preferred.
Responsibilities
Client Project Coordination
- Manage project workflows in Notion across 6–10 active client accounts with a plan to add more clients
- Coordinate with external vendors (copywriters, designers, developers) to keep deliverables on track
- Assign tasks, monitor progress, and follow up to ensure deadlines are met
- Support client onboarding and offboarding
- Maintain clear documentation and checklists for each client engagement
Direct Support to the CMO
- Ensure the CMO is prepared for all client meetings with up-to-date info, deliverables, and reports
- Track post-meeting action items and coordinate with vendors or team members to get them done
- Work alongside the CMO’s executive assistant to manage scheduling, prep materials, and internal comms
- Provide an extra layer of accountability and organization so the CMO can stay focused on strategy and delivery
Internal Marketing Support
- Upload and format blog content (copy + visuals)
- Set up and format marketing emails in Fresh CRM (copy provided)
- Repurpose webinar content for internal channels (YouTube, email, social)
- Create branded graphics using Canva (blog headers, social media posts, internal decks)
- Manage the firm’s internal content calendar and asset organization
- Track marketing KPIs and organize data for monthly/quarterly reporting
Webinar Management
- Set up and manage Zoom webinars (registration pages, reminders, calendar)
- Coordinate preparation of webinar outlines and slide decks
- Write or edit descriptions, captions, and promotional emails (templates provided)
- Provide live support during webinars (tech setup, chat moderation, screen sharing)
- Upload and optimize webinar recordings to YouTube
Design & Branding Support
- Use Canva to create simple, on-brand visuals for content and client-facing materials
- Format PDFs, slide decks, lead magnets, and documents for internal and client use
- Ensure brand consistency across all visuals
Podcast Preparation (Coming Soon)
- Assist in setting up podcast workflows, scheduling interviews, and uploading episodes
- Help repurpose podcast content into marketing assets (email, blog, social)
- Prior experience not required—training and support will be provided
Requirements
- Fluent in English (written and spoken)
- Highly organized and detail-oriented
- Experience managing digital marketing projects or content calendars
- Working knowledge of Canva, Notion, Zoom, Google Drive, and YouTube
- Able to manage multiple deadlines and prioritize effectively
- Previous experience supporting a digital business, marketing agency, or consultant is a plus
Bonus Skills (Not Required, But Nice to Have)
- Familiarity with Fresh CRM or similar email marketing tools
- Light copywriting or editing experience
- Experience supporting live webinars or digital events
- Understanding of YouTube SEO or podcast publishing workflows
- Past experience working with a fractional CMO, small agency, or marketing firm
