Your role
The Office Manager will provide financial, legal, facilities and HR support to the Head of Technology and the team within Subotica office. This role will also provide general office administration support occasionally for Szeged office. This is an exciting new role (because of the growth of the team) that will suit an experienced administrator who is looking for new development opportunities. Ideally, you should be multilingual: native Serbian and fluent English and Hungarian.
Your daily tasks will be:
Wide range support for all operational activities:
- Finance - Liaise with the company accountants regarding the administration of tax and accounting documentation, collection of bills and invoices, and questionnaires of the Statistical Office. Take responsibility for the transfer of documents to and from local authority/government offices/accountants/banks as required. File the bills and other documentation.
- Legal - assisting Head of Legal in the administration of local vendor contracts, filings/reports and insurance policies. Deal with ad hoc matters including Serbian Customs related matters (as required). Working knowledge of Serbian employment law would be highly beneficial.
- Facilities - general office management duties including: support business travel; manage expenses for business trips; purchase and maintenance of kitchen supplies and equipment; manage phone calls and correspondence (e-mail, letters, packages etc.); sorting and distributing incoming and outgoing post; liaising with the landlord as required.
- HR - all local HR coordination including: payroll, national/local holidays, all matters relating to social security, birth of new baby, annual leave, and documentation for sickness.
- Be the point of contact for recruitment activities and support contractual arrangements, offer paperwork, and onboarding.
What we are really looking for/ideal background:
An experienced administrative professional with proven interest/experience in finance, law and/or HR.
- Working knowledge of business financial management
- Familiar with all aspects of general office support
- Strong language skills: native Serbian and fluent English and Hungarian
- Experience working both independently and in a team-oriented, collaborative environment
- Strong organisational and communication skills
- Proactive, confident and highly motivated, with a high level of attention to detail
