We are looking for an organized and proactive Office Manager to join our office in Belgrade.
KEY RESPONSIBILITIES:
- Managing store and office registrations, closures, and permits, while maintaining local authorization records.
- Representing the company during visits from local authorities and ensuring compliance.
- Providing support to stores during inspections by guiding them and preparing necessary documents.
- Handling corporate guarantee letters and coordinating renewals with relevant departments.
- Overseeing the allocation, insurance, registration, and maintenance of fixed assets, including collaboration with suppliers and monitoring related budgets.
- Coordinating sponsorships and donations, managing contracts and budgets, and organizing projects with internal teams.
- Ensuring new employees have access to tools and resources, and that all workstations are fully prepared.
- Managing old stock inventory, coordinating shipments, and identifying buyers.
- Collaborating with internal departments and brokers on insurance matters.
- Serving as the contact person for GDPR compliance, working closely with external legal advisors.
- Leading sustainability reporting efforts, ensuring accurate data collection and guidance.
- Managing a team of administrative staff, delegating tasks, and conducting performance reviews.
- Monitoring guest reception, managing invoices, archive records, organize business trips and events related to the headquarters.
- Car fleet management.
- Translate necessary documents and organize their legalization.
REQUIRED PROFILE:
- Strong organizational skills and ability to prioritize tasks.
- Strategic thinking and adaptability to changing situations.
- Excellent communication and collaboration skills in both local language and English.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Strong negotiation, problem-solving, and critical thinking abilities.
- Ability to work independently and within a team.
- Attention to detail and accuracy.
- Knowledge of local regulations and compliance.
- Familiarity with sustainability practices and reporting.
- Project management experience.
- Leadership and team management skills.
