Responsibilities   

• Managing GM’s diary and organizing meetings and appointments
• Coordinating calendars with other Leadership Team members
• Liaising and cooperating with fellow assistants across Europe
• Organizing travel and hospitality
• Organizing corporate events
• Preparing executive level correspondence in English and Serbian
• Preparing, proof-reading and formatting documents and presentations

Facility Management Duties

• Supervising the team of HQ Office Assistants and their responsibilities
• Implementing and monitoring administrative processes and procedures
• Procuring supplies for HQ and monitoring costs
• Making sure the HQ runs smoothly
• Acting as a point of contact for the facility management company
• Supervising cleaning and maintenance vendors
• Participating in projects with functions such as Controlling, HR, Legal, H&S, Purchasing
• Proactively seeking administrative improvements and excellence

Requirements  

• A university degree holder
• A minimum of 5 years of experience in similar roles
• Fluent in English
• Strong writing and editing skills
• Excellent knowledge of MS Office
• Strong ability to problem solving in a high-paced & dynamic business environment
• Meticulous & detail oriented
