About the role

This is a remote full-time position based in Serbia, with working hours 10am-6pm CET Monday to Friday.

Our People Assistant role is pivotal in providing a proactive and accurate service to our people through our end-to-end administration processes, covering recruitment, onboarding, starters, leavers, movers, payroll, learning and benefits.

This role will work across the People department focusing on day-to-day queries, tasks and administration, with a primary focus in the onboarding compliance processes. Attention to detail, time management, prioritisation and organisational skills are critical for this role along with good IT skills.

Specific duties and responsibilities:

  • Support in a number of shared inboxes across the People team (including Learning, Talent, Onboarding, Payroll), ensuring that all relevant queries are responded to and actioned within the appropriate time frame, and escalated to other parties where required.
  • Liaise with internal and external stakeholders to provide first line advice and support on all People processes
  • Perform pre-employment compliance checks on a high level of candidates, including references, qualifications, right to work, overseas checks, DBS checks etc.
  • Liaise with candidates going through our onboarding process to ensure a smooth and positive experience
  • Issue employment contracts for new starters.
  • Regular audits (weekly, monthly, termly), and spot checks of People data to ensure accuracy and integrity of all data held on People systems (LMS, ATS, HRIS).
  • Conducting relevant compliance checks on current team members (e.g. DBS update service, RTW etc.)
  • Manage and update permission levels on all people systems
  • Prepare and distribute relevant reports on a regular and ad-hoc basis as required
  • Upload invoices and update relevant spend trackers
  • Checking payroll reports
  • Support with the implementation of new systems and processes
  • Update relevant policies and guidance articles on the People section on n-tranet
  • Collaborate with the People & Academy team to create and refine presentations, ensuring content is visually engaging, impactful, and aligned with organisational goals and key messaging
  • Provide administrative support in the learning and development space, coordinating scheduling, training, resources, and communications
  • Updating employment details/ general administration on People systems
  • Responding to external online reviews
  • Assist the Impact Manager with administrative tasks and reporting of metrics to ensure the effective execution of the Impact Strategy
  • Escalating any risks in a timely and appropriate manner with proposed solutions where possible.
  • Contribute to key people projects by providing logistical and administrative support, ensuring timely delivery and effective collaboration across teams.
  • General system administration
  • Being a ‘super user’ on our People systems, including HiBob and guiding our people on how to use them effectively.
  • Covering absences within the People team to ensure day-to-day operations continue
  • Ensuring the delivery of frustration free HR services across the company focusing on and evolving the employee experience in all people processes.
  • Other admin support for the People & Academy team and/or Head of People.
  • Role modeling the N values and ways of working.

Working experience requirements:

  • Proven experience in a fast paced and agile team
  • Demonstrable experience in administration and stakeholder management
  • Excellent communication skills (oral and in writing)
  • Experience and/or passion for the Early Years or Education sector would be a major plus
