Planning and Logistics Administrator

The position holder is responsible for timely processing of worldwide export shipments, support in managing of Q-Notifications and Non-Conformances in timely meaner, administration of Time Management for the Planning and Logistics department in Zurich and maintaining training tool for Planning and Logistics department. This includes Continuous Improvement activities, and interface with all relevant stakeholders.

Your responsibilities:

  • Support and deputize in monitoring and managing Q-Notifications and Non-Conformance including weekly statistics report
  • Support and deputize in timely processing of worldwide export shipments
  • Proactively monitor shipment priorities and down or upgrade, if necessary, in alignment with Logistics Specialist
  • Proactively update data base for Third Party Customers
  • Administer Time Management for the whole Planning and Logistics organization in Zurich
  • Maintain Trainings tool for Planning and Logistics department in Zurich and coordinate trainings
  • Maintain and manage OJT of Logistics and Planning department
  • Support with document scanning (Kofax software) and maintaining Hyper archive (delete, add, replace scanned documents)
  • Support Continuous Improvement activities within the organization
  • Support in proactive updating of Planning and Logistics related Work instructions and Processes
  • Backoffice tasks: ordering office material for Zurich Team
  • Implement and sustain 5S principles

Your profile:

  • University degree preferably in Logistics or Business Administration
  • MS Office tools proficiency (Excel, Word, PowerPoint)
  • Full professional proficiency in English (B2 level required/C1 desired)
  • Minimum 3 years of professional experience in Administration, Freight Forwarding, Logistics and general Supply Chain Management within cross functional teams and in multicultural environments
  • Experience in aviation and ability to understand MRO documents would be considered as plus
  • Experience in SAP
  • A self-disciplined, consequent personality is required
  • Communicative team player with positive attitude, solution, and customer-oriented mindset
  • Demonstrate a high level of personal accountability and attention to detail
  • Flexible and willing to accept change in priorities as necessary
  • Basic knowledge and readiness for LEAN and 5S activities
