Program Success Coordinator
(Hybrid: Account Management & Project Management)

About the Role

We are looking for a Program Success Coordinator to join our team in a hybrid role that combines Account Management and Project Management. This position is critical in ensuring our program members have a seamless, engaging, and successful experience in our coaching programs.

You’ll be responsible for member success, retention, and engagement, while also keeping internal dashboards, workflows, and tasks on track. This is more than just a support role—it’s a development pathway into leadership, with opportunities to train and coach members in the future.

Key Responsibilities

1. Account Management (Member Success & Retention)

  • Own the member experience, ensuring program participants stay on track and feel fully supported.
  • Send weekly accountability communications and manage member submissions (workbooks, resources, intake forms), extracting insights using AI.
  • Identify and resolve incomplete or incorrect submissions.
  • Build and maintain a knowledge base (FAQ library) to enhance support.
  • Manage communication channels:
    • Monitor & respond to WhatsApp channels.
    • Handle inquiries in the team inbox.
    • Send reminders for group calls, office hours, and sessions.
  • Audit members' Weekly Success Dashboards to ensure progress.
  • Track retention metrics, including completion rates and annual program continuity.

2. Project Management (Internal Task & Workflow Ownership)

  • Keep our quarterly and monthly game plans up to date.
  • Maintain the weekly success dashboard, ensuring tasks are assigned and completed on time.
  • Identify critical next steps for the team and maintain a 95%+ task completion rate.
  • Convert quick team messages into actionable tasks.
  • Manage Slack workflows and internal communication systems for efficient project management.

3. Administrative & Support Functions

  • Maintain and update our Business Playbooks (SOPs, checklists, workflows).
  • Ensure accurate intake information collection and member profile updates.
  • Handle small but impactful details like sending gifts, thank-you notes, and special touchpoints.
  • Join weekly coaching calls and workshops, capturing key insights and action items.
  • Assist in tracking and integrating AI-generated meeting notes into follow-ups.
  • Support the creation and integration of AI tools to enhance efficiency.

Future Growth Pathway

This role is designed for career development. Within 180 days, you’ll be competent in our core program. Within 9-12 months, you’ll be fluent in our two signature programs, certified in key modules, and positioned to support members in group or one-on-one settings.

Experience & Background:

  • 2+ years of experience in account management, client success, or program coordination.
  • Project management skills (formal experience is a plus but not required).
  • Experience in coaching, consulting, or agency environments is highly valued.
  • Familiarity with AI tools, Notion, Slack, Google Workspace, and workflow tools is ideal.
  • Bonus: Experience helping small businesses build operational structures, with knowledge of models like The E-Myth or EOS (Traction).
