Position Overview
The Raw Material Coordinator plays a critical role in ensuring the uninterrupted supply of raw materials to support manufacturing operations. This individual is responsible for managing raw material inventory, coordinating closely with suppliers and internal departments, ensuring accurate system data, and resolving any material-related issues that could impact production.
Key Responsibilities:
1. Raw Material Planning & Inventory Management
- Monitor raw material inventory levels daily and compare against production forecasts to determine shortfalls or excesses.
- Maintain minimum and maximum stock levels and set reorder points for each critical material based on lead times, usage rates, and safety stock requirements.
- Analyze consumption trends and historical data to forecast future material needs and inform procurement planning.
- Support monthly, quarterly, and annual physical inventory counts and resolve discrepancies through root cause analysis.
2. Purchase Order Coordination & Supplier Communication
- Initiate material requisitions or collaborate with the buying team to generate purchase orders (POs) aligned with production demand.
- Follow up with suppliers regularly to confirm shipment schedules, delivery dates, and potential delays.
- Coordinate with freight carriers and warehouse staff to schedule inbound deliveries and ensure proper unloading, labeling, and put-away of materials.
- Provide delivery documentation, including packing lists and certificates of analysis, to receiving and quality assurance teams.
3. Production Support & Material Flow
- Serve as the primary point of contact for production planners and line operators regarding material availability and issues.
- Proactively identify and resolve material shortages or excesses that could impact the production schedule.
- Provide timely updates to production teams on expected delivery times and stock levels to ensure uninterrupted manufacturing.
- Create and maintain daily reports to communicate on-hand inventory, incoming shipments, and urgent material concerns.
4. Data Management & ERP Systems (SAP Preferred)
- Accurately record all material movements (goods receipt, transfers, consumption, and adjustments) in the ERP system.
- Maintain clean and consistent material master data, including lot tracking, shelf-life details, and vendor batch numbers.
- Generate standard and ad hoc reports from the system, such as aging inventory, open POs, usage variances, and stockout trends.
- Support integration of ERP improvements by testing new features, participating in user training, and reporting system issues.
5. Issue Resolution & Continuous Improvement
- Investigate and resolve material quality or quantity issues (e.g., damaged goods, incorrect shipments, supplier performance).
- Collaborate with Quality Assurance and Procurement to issue nonconformance reports (NCRs) and corrective actions with suppliers.
- Identify process inefficiencies or bottlenecks in raw material handling and propose improvements.
- Support lean initiatives such as 5S, Kanban, or just-in-time (JIT) delivery systems for raw materials.
6. Compliance, Documentation & Safety
- Maintain organized records of all inbound material documentation, including certificates of analysis (COAs), MSDS/SDS sheets, and lot traceability logs.
- Ensure all material storage and handling practices comply with internal policies and external regulations (e.g., OSHA, FDA, REACH depending on industry).
- Participate in internal and external audits related to material traceability, inventory controls, and supplier compliance.
- Promote safe handling practices in raw material storage areas and escalate safety concerns to the appropriate personnel.
Required Qualifications:
- Fluent in English (minimum B2 level or better).
- Associate’s or Bachelor’s degree in Supply Chain, Logistics, Business, or a related field preferred.
- Minimum 2–3 years of experience in materials, supply chain, or production support role.
- Proficient in ERP systems (SAP strongly preferred).
- Strong Microsoft Excel and data analysis skills.
- Excellent communication, organization, and coordination abilities.
- Attention to detail and ability to manage multiple priorities in a fast-paced environment.
Preferred Qualifications:
- Experience in a manufacturing or process industry environment.
- Familiarity with raw material specifications, COAs, and quality documentation.
- Understanding of lean manufacturing, 5S, or just-in-time (JIT) concepts.
