Position Overview
The Expense Accountant is responsible for reviewing, processing, and reconciling employee expense reports and ensuring compliance with internal reimbursement policies and tax regulations. This role supports travel and expense accounting functions and plays a key role in employee satisfaction, audit readiness, and financial integrity.
Key Responsibilities
Expense Report Review & Processing
- Review submitted employee expense claims for accuracy, policy compliance, and proper documentation
- Process expense reimbursements in SAP, ensuring timely payments and correct GL coding
- Validate tax implications and ensure correct treatment of taxable benefits and allowances
Reporting & Reconciliation
- Reconcile expense-related accounts and resolve outstanding balances in SAP
- Prepare monthly reports on travel and entertainment (T&E) spending trends
- Maintain accurate records for internal audit and external tax purposes
Employee Support & Policy Compliance
- Serve as a point of contact for employees regarding expense policy questions and reimbursement status
- Provide training and guidance on proper expense reporting procedures
- Assist with policy enforcement and recommend process improvements
Qualifications & Requirements
Language: Fluent in English – level B2 or better
Education: Bachelor’s degree in Accounting, Finance, or Business Administration
Experience:
- 5+ years of relevant accounting or expense processing experience
- Experience in a shared service center is preferred
Technical Skills:
- Proficient in SAP and Microsoft Excel
- Familiarity with expense management tools (e.g., Concur, Zoho, Expensify) is a plus

System Administration & Support
- Perform daily administration, monitoring, and maintenance of SAP systems across development, test, and production environments
- Manage user authorizations, roles, and transport management systems (TMS)
- Monitor system health and troubleshoot performance issues across SAP applications and databases
Upgrades, Patching & Migrations
- Lead or support SAP kernel upgrades, support packs, enhancement packs, and system refreshes
- Plan and execute SAP system copies, OS/DB migrations, and Unicode conversions
- Support S/4HANA migrations or greenfield implementations when applicable
Landscape Architecture & Optimization
- Design and maintain high-availability SAP landscapes in coordination with infrastructure teams
- Recommend tuning parameters and architecture enhancements to improve system performance and stability
- Participate in cloud and hybrid deployment initiatives (AWS, Azure, or private cloud for SAP)
Security, Compliance & Documentation
- Maintain SAP security standards, roles, and authorization concepts
- Ensure systems are compliant with audit and regulatory requirements (e.g., SOX, GDPR)
- Create and maintain documentation for configurations, upgrades, and procedures
Collaboration & Project Leadership
- Collaborate with SAP functional, development, and infrastructure teams to support integrations and deployments
- Act as the SAP Basis subject matter expert (SME) on projects and production escalations
- Mentor junior Basis administrators and participate in knowledge sharing across teams
