What it means to be a Senior People Assistant at N Family Club…
Our Senior People Assistant role is pivotal in providing a proactive and accurate service to our people through our end-to-end administration processes, and development of all of our People processes covering the full team member life cycle. Reporting into the Senior People Partner, this role will be the first point of escalation for team members across the company and processing the day-to-day general queries to deadline and with exceptional attention to detail. Time management, prioritisation and organisational skills are critical for this role.

Key Responsibilities:
- Being a ‘super user’ on our People systems, including HiBob and guiding our people on how to use them effectively.
- Liaising with our HiBob account manager and technical support to ensure the system is used to its full capability and People processes can be managed from there centrally.
- Advising on probation periods, including extensions and probation terminations, in line with appropriate deadlines, contracts of employment, and N policy.
- Advising on flexible working, including trial periods and rejections, in line with appropriate deadlines, contracts of employment, and N policy.
- Advising on parental leave, in line with appropriate legislation, contracts of employment, and N policy.
- Assisting the wider people team in projects to drive the success and growth of the people function and business.
- Responsibility for maintaining the N ‘reps’ group administration.
- First point of escalation for People inbox queries.
- Conducting farewell feedback interviews with leavers.
- Reviewing/ maintaining People section on n-tranet.
- Managing and maintaining permission levels on Hibob.
- Producing regular and ad-hoc reports as required by internal management and for external regulatory purposes.
- Responsibility for maintaining all People process notes and ensuring they are accurate and up to date.
- Facilitating SARs.
- Conducting coaching calls with managers to improve their knowledge on People processes.
- Checking elements of monthly payroll reports.
- Assisting with regular compliance tasks in line with the People Assistant (Compliance) job description, to ensure a proactive and accurate service to our candidates and teams through our end-to-end recruitment process.
- Cover the People Assistant/ Payroll Assistant roles when they are on leave.
- Drafting company communication for regular manager and team member updates.
- Ensuring the delivery of frustration free HR services across the company focusing on and evolving the employee experience in all people processes.
- Managing any issues and escalations in a timely and effective manner, identifying the root cause and solving for the immediate, but also for the future.
- Producing and analysing People data – e.g., probation, annual leave, contracted hours etc. – for communicating trends, ensuring data is accurate and for identifying where processes need creating or updating.
- Supporting change management (we are growing fast, so there is a lot to support) across new openings and acquisitions of existing nurseries.
- Supporting market research for the annual pay review.
- Other admin support for the People & Academy team and/or Head of People.
- Role modeling the N values and ways of working.
Experience:
- Experience working with HR systems, specifically HiBob is desirable
- Experience working in fast-paced and agile teams
- Ideally some experience within (but definitely a passion for) the Early Years or Education sector
- Qualifications/Training:
- Level 3 CIPD or equivalent is desirable but not essential
Competencies:
- Exceptional attention to detail and accuracy
- Excellent communication skills, both written and verbally, with confidence to communicate with all stakeholders across the business and build effective relationships
- Strong problem-solving skills with a passion for dealing with open-ended, and ambiguous challenges
- First class organisation skills with excellent prioritisation and strong follow-up skills
- Big plus if you are tech savvy (implementing and maintaining systems)
- A developing knowledge of legislation and the practical application of the law in terms of policies, procedures, and employment law
