Our Client is a global leader in commercial vehicles and automotive interior components and suspension seats, operates in over 19 countries, with a commitment to sustainability and social responsibility. 

Their Global Business Center (GBC) plays a crucial role in supporting global business operations by integrating essential functions such as accounting, procurement, HR, IT and sales. As a shared services center, GBC provides transactional services, expert support, and data analysis to their various locations worldwide, ensuring efficiency and streamlining processes across departments. 

We are looking for System Process Manager Support to join their growing team. This person will play a crucial role in assisting the System Process Manager and the operations team in analyzing, optimizing, and implementing operational processes within the organization. This position requires a detail-oriented individual with strong organizational skills, a willingness to learn, and the ability to work effectively within a team environment. The Process Support Specialist will provide essential administrative and analytical support to ensure the success of process improvement initiatives and contribute to enhancing overall operational efficiency.

Responsibilities:

  • Data Collection and Analysis:
    • Collect and compile data related to current processes, including performance metrics, cycle times, and resource utilization.
    • Assist in analyzing process data to identify trends, patterns, and areas for improvement.
    • Prepare reports, charts, and presentations to summarize findings and communicate insights to stakeholders.
  • Documentation and Documentation Management:
    • Assist in documenting current processes, proposed improvements, and standard operating procedures (SOPs) using appropriate tools and templates.
    • Maintain an organized repository of process documentation, ensuring accuracy, version control, and accessibility for relevant stakeholders.
    • Support the updating and revision of process documentation as needed to reflect changes and improvements.
  • Process Improvement Support:
    • Provide logistical and administrative support for process improvement initiatives, including scheduling meetings, preparing agendas, and documenting meeting minutes.
    • Assist in facilitating process mapping and brainstorming sessions with cross-functional teams to identify opportunities for streamlining workflows.
    • Collaborate with team members to implement process changes and monitor progress towards implementation milestones.
  • Training and Communication:
    • Assist in developing training materials and resources to support the rollout of new processes and procedures.
    • Coordinate training sessions and workshops for employees to ensure understanding and adoption of new processes.
    • Serve as a point of contact for process-related inquiries and provide timely support and guidance to employees as needed.
  • Quality Assurance and Compliance:
    • Support quality assurance efforts by assisting in the monitoring and auditing of process adherence and compliance.
    • Identify potential gaps or deviations from established processes and escalate issues to the appropriate stakeholders for resolution.
    • Contribute to the development and implementation of quality improvement initiatives to enhance process reliability and consistency.

Requirements:

  • Bachelor's degree in Business Administration, Operations Management, Application Management or a related field, or equivalent work experience.
  • 3-5 years of experience in a support role within operations, process improvement, or related areas is preferred.
  • Strong analytical and problem-solving skills, with the ability to collect, analyze, and interpret data effectively.
  • Proficiency in Microsoft Office applications, particularly Excel, PowerPoint, and Visio, for data analysis, reporting, and documentation.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines simultaneously.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.
  • Flexibility and adaptability to work in a fast-paced, dynamic environment and willingness to learn new tools and techniques.
  • Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
