We are seeking a reliable, detail-oriented Administrative Assistant (US Accounting and Tax) to join our team and support our US-based partner company, Pivot Business Group. Pivot is a fast-growing financial strategy firm that delivers CFO services, tax strategy, financial consulting, and bookkeeping services across various industries. Their mission is to help entrepreneurs and small-to-mid sized businesses achieve growth goals with confidence.

As the Administrative Assistant, you will be a part of the fast-paced accounting and tax team. Your main duties will include tax workflow management, as well as providing excellent client service and communication.

Responsibilities:

  • Professionally and accurately respond to client inquiries related to tax matters
  • Manage and organize the team’s calendar and inbox
  • Oversee tax workflows and ensure tasks are completed on schedule
  • Send out tax returns and eSignatures
  • Handle client phone calls and respond to text messages/voicemails
  • Collect and organize client documents for tax preparation and tax strategy engagements
  • Monitor and support client progress in ClickUp by managing action items
  • Communicate with clients to follow up on outstanding items needed to complete their tax returns or strategy work
  • Support the Tax Director by managing internal Slack channels and facilitating task follow-through
  • Maintain clear and organized records of client interactions and updates

Qualifications:

  • Some familiarity with the US tax preparation processes and terminology
  • Excellent written English skills: must be able to clearly and professionally explain tax concepts via email
  • Strong organizational skills and high attention to detail
  • Proficiency in digital tools such as ClickUp, Slack, and Google Workspace or Microsoft Office
  • Prior experience working in a US accounting or tax firm (preferred)
  • Tech stack experience: Tax Act, ProConnect, Tax Planner Pro, TaxPlanIQ, TaxDome, QuickBooks Online (QBO), Xero (preferred)
  • Knowledge of basic bookkeeping processes (preferred)

  • Full-time work: Monday to Friday, 2 pm to 10 pm
