Position Overview
The Truck Dispatcher is responsible for coordinating and overseeing the daily movement of freight with a diverse fleet of drivers, including local, over-the-road (OTR), and owner-operators. This role ensures that all shipments are assigned, tracked, and delivered on time while maintaining strong communication with drivers, customers, and internal teams. The ideal candidate is highly organized, responsive under pressure, and skilled in balancing customer demands with driver needs and legal requirements.
Key Responsibilities
Load Planning & Assignment
- Assign and dispatch loads based on driver availability, location, hours of service, and customer requirements.
- Coordinate scheduling of pickups and deliveries for local, regional, and long-haul drivers.
- Prioritize high-service freight and time-sensitive loads.
Driver Communication & Support
- Maintain constant communication with company drivers and owner-operators via phone, messaging, and dispatch software.
- Monitor driver check-ins, ETAs, and progress throughout the day.
- Troubleshoot issues in real time, including breakdowns, delays, or load cancellations.
Tracking & Documentation
- Track freight in transit and provide status updates to customers and internal stakeholders.
- Ensure accurate and timely documentation of load assignments, driver pay, and detention or layover events.
- Maintain up-to-date records on driver compliance, hours of service, and FMCSA regulations.
Relationship Management
- Build and maintain positive working relationships with drivers to promote loyalty and reliability.
- Communicate customer service expectations and company policies clearly and professionally.
- Address driver concerns with fairness and urgency to ensure satisfaction and retention.
Coordination & Collaboration
- Work closely with sales, customer service, and operations to meet service level agreements.
- Assist in negotiating rates and securing backhauls when necessary.
- Collaborate with safety and compliance to ensure all assignments meet legal standards.
Qualifications & Requirements
- Language: English proficiency B2 or better (verbal and written) required
- Education: High school diploma or equivalent required (college degree preferred)
- Experience: 4+ years in dispatch, transportation coordination, or trucking operations (experience with OTR and owner-operators preferred)
Technical Skills:
- Familiarity with dispatching and TMS software (e.g., Alvys, McLeod, Samsara, KeepTruckin, TruckLogics)
- Basic knowledge of HOS regulations and DOT compliance
- Proficiency in Microsoft Excel, email, and communication tools
Soft Skills:
- Strong multitasking and problem-solving skills
- Excellent communication and interpersonal abilities
- Ability to remain calm under pressure and make quick decisions
- Organized, detail-oriented, and deadline-driven
