Company Overview

The company operates a fleet of approximately 65–80 trucks under two MC numbers with a 50/50 truck split, primarily running interstate operations in Nebraska and Ohio. The business has been operating for over four years with an established organizational structure and clearly defined roles.
Operations are largely owner-operator based, with a strong emphasis on financial accuracy, DOT compliance, and audit readiness across all departments.

Position Overview

We are seeking a detail-oriented and dependable Accounting Specialist to manage day-to-day accounting operations, financial reporting, and settlement/paycheck processes within a trucking environment. This role plays a key part in maintaining financial accuracy, liquidity, and audit readiness.

Key Responsibilities

• Prepare and issue outgoing invoices for services performed
• Monitor, review, and process incoming invoices and payments
• Perform full-cycle bookkeeping, including tracking revenue and expenses
• Prepare paychecks for truck owners and drivers and ensure timely deposits
• Monitor company cash flow, maintain proper liquidity, and assist with establishing savings accounts
• Prepare input files and supporting documentation for U.S.-regulated tax reporting
• Generate financial reports, including aging reports, balance sheets, and Profit & Loss (P&L) statements
• Ensure all financial records are accurate, organized, and audit-ready at all times

Incoming Invoice Categories

• Truck and trailer repairs and maintenance
• Insurance premiums and related costs
• Stickers, IFTA decals, license plates, ELD devices, cameras, and permits
• Trailer rental expenses

All invoices must be regularly reviewed and verified to identify potential cash leaks, discrepancies, or inefficiencies, and must be maintained in a manner suitable for internal reviews or external audits at any time.

Qualifications

• Previous experience in accounting or bookkeeping, preferably in the trucking or transportation industry
• Strong understanding of financial management, paychecks, and expense tracking
• Proficiency in Microsoft Office, especially Excel
• Strong written and verbal communication skills in English
• High attention to detail, accuracy, and confidentiality
• Ability to work independently within an established organizational structure
