We are seeking a detail-oriented and proactive Administrative Assistant to support our day-to-day office operations. This role includes a wide range of administrative and clerical duties.
Responsibilities:
- Responsible for purchasing of essential items such as Lidl card purchases and drinking water supplies, ensuring uninterrupted availability and managing all related payments
- Oversee procurement and delivery coordination of maintenance materials and equipment for both factory and accommodation facilities, requiring regular communication and negotiation with multiple suppliers
- Manage complex payment processes for various transportation services, including shuttle bus, taxi, and rental cars, ensuring accuracy and timely settlements
- Handle administrative duties related to company vehicles, including registration, insurance, and maintenance cost monitoring and payments
- Procure office supplies and maintain strong supplier relationships to guarantee seamless operations and timely invoicing. Responsible for payments
- Serve as a back-up driver, providing operational support when needed, adding flexibility and reliability to the team.
- Monitor, review, and approve invoices within the SEF system, ensuring compliance with company policies and accuracy, going beyond simple payment processing.
Requirements:
- Strong organizational skills, and effective communication
- Proficiency in English
- Familiarity with Microsoft Office
